Summary
The Trade Compliance Administrative Coordinator provides administrative and operational support to the Import/Export Office on a part time basis, 15-20 hours per week. This role is responsible for coordinating departmental activities, supporting compliance processes, maintaining records, and assisting with day-to-day administrative functions that help ensure the efficient operation of the trade compliance program.
Job Responsibilities
Process invoices, create purchase requisitions, coordinate payments through SAP, and track remittances.
Reconcile the department's American Express purchasing card on a monthly basis.
Maintain departmental SharePoint sites, intranet pages, and other electronic files to ensure information remains current and organized.
Conduct restricted party screening of customers, suppliers, distributors, and other business partners.
Assist with routine import and export compliance activities, including maintaining records and supporting compliance documentation.
Support deemed export compliance activities by tracking requests, reviewing documentation, and providing timely feedback.
Proofread and format department communications, presentations, training materials, and newsletters.
Provide administrative support for compliance training programs, including scheduling sessions, maintaining attendance records, and distributing materials.
Assist with special projects and perform other administrative and compliance-related duties as assigned.
Requirements
Minimum of 2 years of administrative, operations, or related business experience.
Strong organizational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Demonstrated ability to work independently while collaborating effectively with cross-functional teams.
Preferred:
Experience supporting an international trade, import/export, logistics, customs brokerage, freight forwarding, or supply chain organization.
Familiarity with SAP and SharePoint.
Experience working with compliance, legal, finance, or operations teams.
Experience conducting restricted party screening or supporting import/export compliance activities is a plus.

For Westchester County, NY only (as required by the Westchester County Human Rights Law): The expected hourly rate for this position in our Westchester County office is $34.27 - $42.84 per hour. Pay is determined based on a variety of factors including, but not limited to, depth of experience in the practice area.
