Asbury Village is seeking an Executive & Marketing Coordinator to provide support to our Executive Director and Marketing Department. This is a unique role that combines administrative support, marketing, creativity, event coordination, and resident engagement. We're looking for someone who enjoys working with people and wants to be part of a senior living community where their work makes a difference!
General Summary:
The Marketing & Administrative Coordinator serves as a key support role for both the Executive Director and Marketing Department. This position assists with administrative tasks, marketing initiatives, and resident engagement while helping maintain organization and efficiency within the department. The ideal candidate is organized, personable, creative, and enjoys working in a fast-paced senior living environment.
Essential Job Duties for Administrative Support & Resident Engagement:
1. Complete daily check-ins with the Executive Director regarding projects, priorities, and assigned tasks.
2. Provide general administrative support for leadership and departmental projects.
3. Assist the Executive Director by coordinating communication, scheduling meetings, and following up on assigned initiatives.
4. Create flyers, announcements, and other communication materials for employees and residents at the direction of the Executive Director to promote organizational initiatives, events, and important updates.
5. Develop visual presentation materials to support Executive Director meetings, initiatives, and organizational communication.
6. Demonstrate flexibility to perform other duties, special projects, and organizational initiatives as assigned to support the Executive Director.
Essential Job Duties for Marketing Support:
1. Assist with move-in paperwork and ensure all resident documentation is accurate, organized, and completed promptly and distributed to the appropriate place.
2. Promote, coordinate, and help execute “Warm Welcome”/housewarming events for new residents.
3. Assist with planning and execution of marketing events, community outreach opportunities, and networking functions.
4. Create marketing event flyers, invitations, and promotional materials.
5. Help manage the community’s social media presence through content creation, posting assistance, and engagement monitoring.
6. Assist with outside marketing efforts and relationship building within the community and professional networks.
7. Ensure all marketing and sales collateral remain current, updated, and neatly maintained.
8. Maintain and organize sales and marketing files, binders, brochures, and printed materials.
Essential Job Duties for New Resident Move-in and Orientation:
1. Help maintain and organize the Salesforce database by reviewing older accounts and making follow-up or clean-up calls as directed.
2. Update and maintain accurate records within Salesforce.
3. Support lead management processes while understanding this is a non-sales support role.

QUALIFICATIONS:
1. Excellent organizational and communication skills.
2. Strong attention to detail and ability to multitask.
3. Proficient in Microsoft Office, Canva, social media platforms, and general computer applications.
4. Experience with CRM systems such as Salesforce preferred.
5. Creative mindset with strong customer service and hospitality skills.
6. Ability to work independently while also functioning as part of a team.
7. Previous experience in marketing, administrative support, senior living, hospitality, or customer service preferred.
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
Physical effort is minimal. Seventy-five percent (75%) of the workday is spent sitting, standing intermittently, and bending. Must be able to lift and carry up to twenty (20) pounds. Requires manual coordination to operate phones, computers, and other business equipment. Requires continuous mental and visual attention to diversified operations. Must be able to function efficiently despite distractions and interruptions. Communicates orally and/or in writing with residents, coworkers, families, and the public.
Pay:
$22/hour - $24/hour
