Role Overview
● The Facilities Coordinator works closely with the Site Service Manager/Assistant Site Service Manager with operational activities in accounting and finance, maintenance and
operations, vendor management, procurement of material, equipment & supplies, occupancy services and in charge of on-boarding process.
● Act as a collaborative team player, working seamlessly with cross-functional members to achieve shared operational goals.
● The position of Facilities Coordinator requires substantial independent coordinator skills, process ownership, decision making, administrative and technical expertise. The incumbent;
○ Serves as an integral part of a facilities team to deliver outstanding customer service to users.
○ Proactive & timely communication: maintain clear, prompt, and effective communication with key stakeholders, vendors, and team members.
○ Prioritize and address urgent facility issues in alignment with EHS standards to uphold a safe and compliant workplace environment.
○ Resolve user requests directly by guiding them through the ticketing and self-service systems.
○ Proactively expands role responsibilities by acquiring new skills, including, but not limited to, leveraging AI for workflow efficiency.
● Handle complex and confidential facility operations, ranging from vendor contract and budget reports to sensitive employee data.
● This position requires a person who can be responsible for prioritising projects to meet multiple deadlines in a fast-paced, people-oriented environment.

Preferred Experience & Skills:
● Excellence in coordinating site operations and workplace services
● Strong Client/Stakeholder Engagement
● Proven experience in procurement and vendor management is a plus
● Foundational knowledge of financial and accounting procedures
● Experience in office EHS compliance and workplace safety
● Experience in workplace safety oversight and vendor risk management
Key Job Requirements:
1. Soft Services, Vendor & Amenities Management
● Oversee the scheduling and performance of all soft service maintenance operations to ensure service excellence.
● Manage and support building services, including transportation, event coordination, space management, occupancy planning, janitorial, reception, and general office amenities.
● Oversee seamless replenishment and optimal stock levels for workplace amenities and office consumables.
● Manage indoor plant maintenance operations and vendor performance to sustain a high-standard workplace environment.

Manage office furniture and operational assets while maintaining high inventory accuracy and equipment records.
● Maintain premises in optimal working condition by implementing industry-best operational practices.
2.Environmental Health & Safety (EHS) & Risk Management
● Ensure compliance with EHS standards and proactively mitigate workplace hazards through routine safety inspections and risk assessments.
● Oversee on-site contractors to ensure timely service delivery, full compliance with Statements of Work (SOW), and validation of required safe work permits prior to work execution.
● Observe and report all incidents or suspicious activity to the Site Service Manager or Client Security as appropriate for the circumstances and/ or as required by the site.
● Follow established escalation and incident reporting procedures during emergency or critical scenarios.
● Risk Management:
○ Assist in the implementation and management of property risk management programs.

3. Operations Excellence & Project Management
● Track project milestones, timelines, and operational details to ensure on-time delivery across workplace initiatives.
● Establish and enhance site field manuals and SOPs for core FM functions to streamline operations and ensure compliance.
● Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times.
● Be responsible to consolidate all customer issues and generate a monthly report.
● Prepare logs, documents and reports as required for the site and take action as required.
● Project Management & Organisational Skills:
○ Proven ability to manage multiple and complex operational matters on a daily basis.
○ Demonstrates ability to prioritise and manage the completion of projects in an efficient and timely manner.
4.Financial & Procurement Operations
● Drive procurement operations and serve as the centralized POC for designated vendor categories across all sites.
● Managed the vendor onboarding process and maintained accurate, up-to-date vendor profiles.
● Process timely cost approvals and review work reports for accuracy.
● Proactively refine operational standards, maximizing cost efficiency without compromising service quality.

6. Team Leadership & Cultural Alignment
● Collaborate closely with all colleagues, supporting peers as needed and mentoring junior staff to build a resilient and highly cooperative workforce.
● Achieve Key Performance Indicators and Service Level Agreement targets.
● Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies.

7. General Site Support
● Ad Hoc responsibilities assigned by the Site Service Manager.
● Provide backup assistance across reception, mailroom, and event management teams to maintain seamless site service continuity during peak hours or staff shortfalls.

Preferred Qualifications:
● 3 to 4 years of prior experience in facilities, property management, hospitality, or related fields.
● Knowledge of local occupational health and safety regulations, critical facility operations, and specialized vendor management.
● Understanding of core building systems, including CRAC, chillers, fire protection, M&E, and BMS.
● Proven ability to prioritize projects and hit tight deadlines in a fast-paced, team player, people-oriented environment.
