- Develop and implement procurement strategies aligned with operational requirements and organizational objectives across multiple commercial sites
- Identify cost optimization opportunities through strategic sourcing, vendor consolidation, and competitive bidding processes
- Establish standardized procurement procedures and best practices across the portfolio to ensure consistency and efficiency
- Conduct market research and analysis to identify qualified vendors, emerging suppliers, and industry trends
- Support budget planning by providing accurate cost forecasts and spending analysis
- Source, evaluate, and onboard vendors across various categories including facility services, MEP maintenance, housekeeping, security, landscaping, and supplies
- Negotiate contracts, service level agreements (SLAs), and pricing terms to achieve optimal value and service quality
- Maintain a qualified vendor database and conduct regular performance evaluations
- Build and maintain strong relationships with key suppliers to ensure reliable service delivery
- Manage vendor disputes, escalations, and issue resolution effectively
- Conduct periodic vendor audits to ensure compliance with contractual obligations and quality standards
- Draft, review, and manage vendor contracts, purchase orders, and service agreements
- Ensure all procurement activities comply with organizational policies, legal requirements, and regulatory standards
- Monitor contract performance, renewals, and terminations across the portfolio
- Maintain comprehensive contract documentation and tracking systems
- Ensure adherence to approved authority matrices and approval workflows
- Coordinate procurement activities for routine operational requirements, emergency purchases, and capital projects
- Process purchase requisitions, obtain competitive quotations, and issue purchase orders in a timely manner
- Support site teams with vendor coordination and procurement-related queries
- Ensure timely delivery of goods and services to meet operational needs
- Manage procurement for specialized services including pest control, waste management, AMC/CMC agreements, and technical services
- Monitor procurement budgets and spending across multiple sites to ensure cost control
- Analyze spending patterns and identify savings opportunities through consolidation and negotiation
- Prepare detailed cost comparisons, vendor evaluations, and procurement reports
- Track and report key procurement metrics including cost savings, vendor performance, and compliance rates
- Coordinate with finance teams for invoice processing, payment tracking, and budget reconciliation
- Establish quality standards and specifications for procured goods and services
- Conduct quality inspections and coordinate resolution of quality issues with vendors
- Identify and mitigate procurement-related risks including supply chain disruptions and vendor dependencies
- Ensure proper insurance, compliance certificates, and documentation from all vendors
- Maintain contingency plans for critical services and supplies
- Implement and maintain procurement management systems and tools
- Streamline procurement processes to reduce cycle times and improve efficiency
- Collaborate with site managers, facility teams, and department heads to understand procurement needs
