Compensation Considerations:

This position supports Donor Care operations through coordination of deviation management, document control, equipment maintenance, and administrative processes to ensure regulatory compliance, operational efficiency, and quality service. Responsibilities include reviewing and submitting records to Centralized Document Review (CDR), managing adverse event investigations and TrackWise documentation, maintaining controlled documents and equipment records, supporting donor reinstatement and counseling processes, and coordinating work orders and maintenance activities through the equipment management system. The role also performs preventative maintenance and quality control on donor care equipment, assists with reporting and audits, and collaborates with management to improve processes, support data-driven decision making, and help achieve collection and operational goals in a cost-effective manner.

Job Description:

Vitalant is seeking a Donor Care Process supervisor dedicated to supporting our life-saving mission through donor recruitment and blood drive coordination. Under direct supervision, this position is responsible for coordination of deviation management, and other technical and administrative functions. Position may include equipment maintenance, repair, and use of the equipment management system (CMMR). Assist management in the successful achievement of collection goals and cost-effective operations. The goal of this work is to improve the effectiveness of processes and the delivery of services to departmental clients, increase the use and understanding of data for decision making, and facilitate support activities to help integrate the department's operations.

Performs all assigned duties in compliance with internal SOPs and external regulations. Brings compliance issues to the attention of management.

Assures quality customer service to all internal and external customers.

Maintains good attendance and punctuality per the absence policy.

Performs daily scanning and necessary follow up of documents to the Centralized Document Review (CDR) from Component Processing Location (CPL). Ensures all records are reviewed for accuracy and completeness prior to scanning and time frames are met as requested.

Ensures all scheduled processes are reviewed for accuracy and completeness prior to submittal to component processing lab (CPL) and centralized document review (CDR).

Performs analysis and follow-up of donor adverse events and ensures records are prepared for review. Updates System Tracking of Adverse Reactions (STAR) in Trackwise.

Ensures document control is maintained throughout Donor Care. Updates records and ensures revision control. Ensures appropriate record retention and corrective action associated with records management.

Assists in, and initiates processes such as donor reinstatement, receiving, donor counseling for positive viral markers, BECS Corrections and record review.

Releases, prints, distributes, and closes work orders in the equipment maintenance system in a timely manner and develops a process in collaboration with Donor Care management to ensure timely follow up.

Assists with report generation, as needed.

Reviews and maintains accurate equipment files, including archiving and management of vendor supplied manuals. May assist during internal or external audits by gathering equipment files and answering questions related to equipment.

Ensures equipment is sent for repair and/or repairs equipment if vendor authorized. Orders replacement parts as needed and maintains accurate inventory of those parts. Maintains documentation of repairs and returns repaired equipment back to operations in a timely manner.

Schedules and performs quality control (QC) and preventative maintenance (PM) on all Donor Care Equipment as required.

Performs all other duties, at the discretion of management, as assigned.

What to Expect:

Compensation: $63,128.00 to $83,335.20 Salary

Schedule: M- F 8-5 pm

Hybrid: 2 days in office and 3 days remote

REQUIREMENTS:

KNOWLEDGE/EDUCATION

High School graduate or GED required.

EXPERIENCE

One year of experience in a blood center environment required.

One year of experience performing automated procedures preferred.

Must possess the skills and abilities to successfully perform all assigned duties and responsibilities.

Must be able to maintain confidentiality.

Must be able to understand, follow, and give precise written and verbal instructions, and perform all activities safely.
