We are looking for a detail-oriented  Resource Management Specialist to join our operations team. In this role, you will support day-to-day workforce planning, capacity forecasting, operational process maintenance, and financial tracking for assigned teams. You will play a key role in ensuring accurate data, efficient scheduling, and compliance with established processes — enabling our teams to deliver projects smoothly and on time. 

Location: UK (Bristol preferable)

Requirements

  • 3-5 years’ experience in resource management, operations coordination, or capacity planning.
  • Strong analytical skills with proficiency in Excel, resource planning tools (knowledge of Float is an asset), or similar systems.
  • Excellent attention to detail and organisational skills.
  • Ability to work collaboratively and communicate effectively with multiple stakeholders.
  • Understanding financial tracking and forecasting processes is an asset.
  • High ownership mindset with the ability to operate independently, manage ambiguity, and drive outcomes.
  • Ability to facilitate collaborative discussions regarding resource assignment, utilisation and gap analysis between resource managers and leaders
  • Experience in a creative/strategy agency is an asset

Responsibilities

Resource Management & Capacity Planning  
  • Manage workforce planning and utilisation tracking for assigned teams.
  • Prepare capacity forecasts using provided inputs and historical data.
  • Monitor workloads and escalate risks or gaps to the Resource Manager or Director.
  • Prepare quarterly resourcing data and reports for leadership review.
  • Proactively adjust plans within approved parameters to ensure demand is met.
Operational & Process Excellence  
  • Develop, document, and maintain standard operating procedures (SOPs) and operational plans.
  • Participate in operational reviews, providing data and observations to support improvement initiatives.
  • Ensure compliance with established processes, escalating exceptions when necessary.
Financial Planning & Oversight  
  • Track actual labour hours and costs in established systems.
  • Prepare variance reports for review by Finance or Delivery leads.
  • Enter and monitor contractor time and invoices.
  • Support validation of project and resourcing forecasts by providing accurate data.
Key Performance Indicators (KPIs) 
  • Timely and accurate workforce planning and utilisation reports.
  • Capacity forecasts delivered on schedule with minimal errors.
  • Compliance issues identified and escalated promptly.
  • Accurate and timely financial tracking and reporting.
  • Contractor invoices processed on schedule.
