Your Impact in this Role Helix is building something meaningful in Mexico — a growing team of engineers, working to make genomics a standard part of how people understand and manage their health. As our Mexico presence scales, we’re looking for a Recruiting Operations Specialist to help us hire well and move fast.
This is a contractor role working directly with our Head of Recruiting. You’ll own the coordination infrastructure that keeps our hiring process running smoothly — making sure every candidate has a great experience, every interviewer is prepared, and every req stays on track. The work is detail-oriented and fast-paced, and it matters: the people we hire in Mexico will shape what Helix becomes.
As a Recruiting Operations Specialist, you will:
  • Support our annual Mexico recruiting event — candidate outreach, scheduling, and day-of coordination so the event runs well for candidates and the team alike
  • Schedule and coordinate interview loops for all active Mexico reqs — interviewer assignments, calendars, video links, prep materials, and scorecard reminders so every loop runs without friction
  • Build and document the coordination workflows and SOPs that keep our Mexico hiring process consistent and scalable as the team grows
  • Run initial screening conversations with Mexico-based candidates, assess fit, and move the right people forward quickly
  • Keep Gem ATS accurate and current — pipeline stages, feedback requests, candidate dispositions, and req statuses should always reflect reality
  • Manage candidate communications throughout the process so every person we interview feels informed, respected, and clear on next steps
  • Work closely with US-based recruiters to keep reqs moving — surface blockers early, share pipeline updates, and close coordination gaps before they slow things down
About you:
  • 2–4 years in recruiting coordination, recruiting operations, or a similar role — ideally in a fast-moving tech or healthcare environment where priorities shift and details still have to be right
  • Strong organizational skills and high attention to detail — you manage multiple moving pieces simultaneously and rarely let things fall through the cracks
  • Experience scheduling and coordinating interviews at volume, with a strong command of calendar tools and a clear system for staying organized
  • Hands-on experience with an ATS (Gem, Greenhouse, Ashby, or similar) and a genuine commitment to keeping data clean and current
  • Fluent in English, warm and professional in how you communicate — candidates and interviewers should feel well-informed and taken care of at every step
  • Based in Mexico City and available to work from our WeWork Varsovia office once a week
  • Comfortable working across time zones with a distributed team between the US and Mexico
  • Comfortable using AI tools in your day-to-day work — you’ve used LLMs or other AI tooling to get things done and are open to using them more
 Pluses:
  • Prior experience with Gem ATS
  • Experience building or improving recruiting coordination processes — you’ve made a hiring operation run better, not just maintained it
  • Background in genomics, biotech, diagnostics, or life sciences
  • Experience supporting or coordinating in-person recruiting events
  • Familiarity with the Mexico City tech talent market
  • Experience working in a distributed or remote-first team environment
  • Familiarity with Cowork or similar AI-powered productivity tools

Expected Pay For This Role:
There are 2 distinct parts to your Helix offer: 1) Base Salary  2) Annual Bonus 
Expected Helix Annual Base: MX$525,000 - MXN$617,000
Expected Discretionary Performance Bonus: 10%
The salary range above is our reasonable estimate of the base compensation for this role across your region. Actual starting pay will be based on non-discriminatory job-related factors, including exact work location, experience, relevant training and education, and skill level. Office Location:Our office is located at the WeWork - Varsovia, Mexico City 
  • We gather intentionally in our office space once per week to work on things like pair programming/live collaboration, skillshare sessions, social segments, team lunches, and volunteering opportunities.

What To Expect During Your Onboarding Week:We want to make sure your first week is spent learning the foundations. You will be invited to live orientation sessions and spend time with your hiring manager developing your individual roadmap to success. This experience will include sessions that cover your benefits, security & privacy training, an introduction to the OKR framework used at Helix and our communication tools and norms. 
What To Expect During Your First 90 days:First 30 days — Learn, Onboard & Support the Mexico Recruiting Event: Complete all onboarding and security/privacy training; hold 1:1s with the Head of Recruiting, Mexico-based hiring managers, and US recruiting teammates; ramp fully on Gem ATS; shadow active processes to calibrate on the Helix interview bar; get up to speed on the September Mexico Recruiting Event and support pre-event candidate communications — confirmations, scheduling, and follow-ups.  
Days 30–60 — Own Your Workflows: Independently own interview scheduling and coordination for active Mexico req; submit your first pipeline report to the Head of Recruiting; debrief on the September recruiting event and document learnings and recommendations. 
Days 60–90 — Drive Impact: advance 2+ candidates to final loop; build and maintain scheduling infrastructure for evergreen Mexico roles; document at least one process improvement; set Q4 OKRs with the Head of Recruiting anchored to the 2H headcount plan.

Compensation

The base pay range for this role is MX$525,000 – MX$617,000 per year.
