As a successful Executive Administrative Assistant on the Consumer & Community Banking - Tech team, you possess structure, attention to detail, quality focus, high energy, and flexibility to a high-paced deadline driven organization. In this role you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.

 

Job Responsibilities

  • Manage complex calendars and scheduling priorities
  • Screen calls, manage communications, and handle sensitive information
  • Coordinate internal and external meetings and logistics
  • Arrange domestic and international travel
  • Plan offsite meetings, conferences, and events, including catering and transportation
  • Process invoices and expense reports while ensuring policy compliance
  • Support onboarding and offboarding, including equipment and system access requests
  • Draft and distribute professional communications to stakeholders at all levels
  • Maintain organizational charts, executive bios, and administrative documentation
  • Assist with spreadsheets, presentations, and meeting materials for client engagements
  • Partner with administrative teams and support ad hoc projects as needed

 

Required qualifications, skills, and capabilities

  • At least five years of administrative experience, supporting at the Managing Director level (or equivalent) or above
  • Advanced ability to organize
  • Tact and good judgment in confidential situations, and proven experience interacting with senior management
  • Strong interpersonal, written, and oral communication skills
  • Strong proficiency in Microsoft Office
  • Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management

 

Preferred qualifications, skills, and capabilities

  • College degree is a plus

 

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
