Position Summary

The Senior Epicor ERP Administrator & Business Systems Analyst is Karman’s senior, hands-on individual contributor for administering, supporting, stabilizing, and continuously improving the Epicor ERP environment, with primary emphasis on Epicor Kinetic. The role combines deep technical and functional Epicor capability with business systems analysis and operational problem solving to improve platform reliability, process execution, data quality, reporting, controls, and user adoption.

Reporting to the Director, Enterprise Platforms & Business Systems, this role owns day-to-day technical and functional delivery for Epicor while working within enterprise priorities, architecture, controls, and standards established by the Director and business process owners. The position will resolve complex production issues, translate approved requirements into supportable solutions, and strengthen documentation, cross-training, and support practices across Karman’s sites.

The ideal candidate is equally comfortable working directly in Epicor and facilitating process discussions with Operations, Finance, Supply Chain, Manufacturing, Engineering, Quality, Programs, Cybersecurity & Compliance, Infrastructure & Site Operations, Enterprise Integration & Technology PMO, AI, Data & Automation, vendors, and site leadership. This is not a generic ERP analyst, a pure developer, or a people-management role; it requires a technical-functional practitioner who connects system decisions to operational, financial, compliance, and customer outcomes.

Immediate Mandate

During the first 12 months, this role will:

  • Establish trusted day-to-day ownership of Epicor Kinetic operations, production issue resolution, and stakeholder communication across sites.
  • Stabilize the current environment by reducing recurring incidents and backlog, documenting configurations, integrations, and support procedures, and reducing key-person dependency.
  • Strengthen access, change, testing, evidence, recovery, and data-quality disciplines that support SOX, CMMC, reliable financial reporting, and operational continuity.
  • Partner with the Director and business process owners to deliver prioritized improvements that advance One Team / One System, on-time delivery, and financial performance.
  • Prepare for multi-site standardization and M&A integration, including acquired-site assessment, data readiness, migration, cutover, training, and post-go-live stabilization.

Key Responsibilities

Epicor ERP Administration & Support

  • Administer, support, monitor, and continuously improve the Epicor ERP environment across enterprise and site operations, with primary emphasis on Epicor Kinetic.
  • Provide advanced functional and technical support for Epicor users, business process owners, and site teams across manufacturing, supply chain, inventory, planning, engineering, quality, costing, finance, order management, and program execution.
  • Troubleshoot complex issues involving transactions, configurations, workflows, reports, integrations, security, performance, and user access; use root-cause analysis to reduce recurring problems rather than repeatedly treating symptoms.
  • Maintain and support Epicor security roles, menus, dashboards, BAQs, BPMs, Application Studio components, alerts, forms, workflows, user-defined fields and tables, reports, and other approved configurations.
  • Own disciplined triage and execution across Epicor incidents, requests, enhancements, and recurring problems, using Director-established priorities, service expectations, escalation paths, and stakeholder communication standards.
  • Support Epicor upgrades, patches, environment refreshes, release planning, testing, cutover, rollback, and post-release stabilization in partnership with business owners, Infrastructure, Cybersecurity, and vendors.
  • Develop runbooks, recovery procedures, support documentation, and cross-training that reduce key-person dependency and strengthen operational continuity.

Business Process Alignment

  • Partner with Operations, Finance, Supply Chain, Manufacturing, Engineering, Quality, Programs, and site leaders to understand business process needs, control requirements, operational priorities, and ERP pain points.
  • Translate approved business requirements into practical Epicor configuration, workflow, reporting, data, or integration solutions; surface local preferences and one-off requests for appropriate enterprise prioritization and decision.
  • Support and improve end-to-end processes including quote-to-cash, order-to-delivery, procure-to-pay, plan-to-produce, inventory and warehouse management, engineering change, BOM and routing management, quality, job costing, and record-to-report.
  • Identify manual workarounds, duplicate entry, inconsistent site practices, weak transaction discipline, and opportunities to simplify or standardize processes.
  • Document current- and future-state processes, business rules, data ownership, control points, system dependencies, roles, and user impacts.
  • Support a practical ‘one company, one system’ operating model while recognizing legitimate regulatory, customer, and operational differences across sites.
  • Tie ERP improvements to measurable business outcomes such as on-time delivery, schedule adherence, inventory accuracy, planning effectiveness, cycle time, close quality, and reporting confidence.

Reporting, Data & Analytics Support

  • Develop, maintain, and support Epicor reports, dashboards, BAQs, queries, extracts, and operational reporting tools.
  • Partner with Finance, Operations, Quality, Supply Chain, Programs, and leadership to improve reporting accuracy, consistency, usability, and reconciliation to authoritative data sources.
  • Improve master-data quality, transactional accuracy, ownership, and governance across customers, suppliers, parts, BOMs, routings, resources, costing, inventory, and financial structures.
  • Support data cleanup, validation, migration, mass updates, reconciliation, and conversion activities with documented controls and business-owner approval.
  • Partner with AI, Data & Automation resources to provide governed, trusted data for analytics and approved AI use cases consistent with applicable data-handling requirements.

Epicor Configuration, Enhancements & Continuous Improvement

  • Configure and enhance Epicor through approved, supportable methods using tools such as BAQs, BPMs, Application Studio, dashboards, alerts, forms, reports, DMT packages, REST services, and other approved capabilities.
  • Support enhancement intake, requirements clarification, solution design, testing, deployment, documentation, and user adoption.
  • Analyze requests for business value, enterprise fit, security and compliance impact, technical risk, maintainability, and support burden; provide evidence-based recommendations through the established intake and prioritization process.
  • Partner with vendors, consultants, and internal teams on complex configuration, development, integration, reporting, and upgrade activities while ensuring effective knowledge transfer.
  • Maintain documentation for configurations, customizations, integrations, reports, processes, controls, and support procedures.
  • Recommend opportunities to simplify, standardize, or retire overly complex customizations, workarounds, and unsupported solutions.

Integrations & Application Connectivity

  • Support and troubleshoot integrations between Epicor and engineering, manufacturing, quality, finance, procurement, customer, vendor, reporting, and data platforms in partnership with Enterprise Integration & Technology PMO and system owners.
  • Troubleshoot integration failures, data mismatches, transaction errors, timing issues, and monitoring gaps; coordinate sustainable resolution across internal teams and vendors.
  • Document source and target systems, ownership, data flows, dependencies, controls, monitoring, recovery procedures, and support responsibilities.
  • Promote supported APIs and approved integration patterns, and help eliminate uncontrolled direct database access, brittle point-to-point feeds, unmanaged extracts, and unsupportable customizations.
  • Ensure new integrations and software deployments are tested, approved, documented, supportable, and reversible, with clear ownership before production release.

Security, Access & Compliance

  • Administer or support Epicor user access, role design, least privilege, segregation of duties, privileged access, and periodic access reviews.
  • Partner with Finance, Internal Audit, Cybersecurity & Compliance, and process owners to operate and evidence SOX ITGC, CMMC, and other applicable controls for Epicor.
  • Support ERP-related control activities including access reviews, audit logging, change evidence, system operations documentation, remediation tracking, and timely removal or correction of inappropriate access.
  • Implement approved CUI handling and system-boundary requirements within Epicor and connected processes; business, Contracts, Engineering, and Cybersecurity owners retain responsibility for contractual interpretation, data classification, and control requirements.
  • Ensure Epicor changes follow appropriate governance, testing, approval, documentation, and post-implementation review standards.
  • Support evidence collection and documentation for audits, assessments, internal reviews, and remediation activities.

Testing, Change Control & Release Management

  • Support ERP change control processes including intake, prioritization, requirements, approvals, design, testing, validation, release planning, implementation, and post-implementation review.
  • Develop and execute test plans for Epicor configuration changes, integrations, reports, upgrades, patches, and defect corrections.
  • Coordinate user acceptance testing with business process owners, super users, and site teams.
  • Document test results, defects, remediation actions, known limitations, rollback plans, and go-live readiness.
  • Support post-release stabilization, issue triage, training updates, stakeholder communication, and continuous improvement.

User Training, Documentation & Adoption

  • Develop and maintain user guides, job aids, standard work, configuration records, knowledge articles, support procedures, and technical documentation.
  • Train and coach users, super users, analysts, and process owners on system capabilities, process expectations, transaction discipline, and troubleshooting.
  • Support creation and ongoing development of an Epicor super-user network across sites and functions, with clear ownership and escalation paths.
  • Improve ticket quality, knowledge reuse, self-service, stakeholder communication, and trust in the Business Systems team.
  • Work with Epicor and third-party vendors to define deliverables, review technical quality, transfer knowledge, and ensure Karman retains the documentation and capability needed to support delivered solutions.
  • Build strong relationships with site users and business process owners to improve ERP adoption and reduce shadow systems.

M&A Integration & Site Standardization

  • Support Epicor-related activities for acquisitions, new sites, entity changes, consolidations, and enterprise-standardization initiatives.
  • Assess acquired or legacy ERP environments, local processes, data quality, customizations, integrations, reporting gaps, controls, and operational risks.
  • Support ERP onboarding, data migration, process harmonization, user and role setup, reporting alignment, cutover, and post-integration stabilization.
  • Partner with Enterprise Integration & Technology PMO and business owners to define site readiness, dependencies, decisions, risks, milestones, and acceptance criteria before committing to implementation.
  • Help rationalize duplicate systems, local tools, unmanaged spreadsheets, and inconsistent practices while preserving data portability and avoiding unnecessary platform or vendor dependency.

Required Qualifications

  • Bachelor’s degree in Information Technology, Business, Operations, Finance, Engineering, Supply Chain, or a related field; equivalent combination of education and experience may be considered.
  • Five or more years of progressive, hands-on Epicor ERP experience in administration, application support, business systems analysis, or a closely related role, including recent experience with Epicor 10 or Kinetic.
  • Hands-on experience supporting Epicor-enabled manufacturing, supply chain, inventory, engineering, quality, planning, costing, finance, and order-management processes.
  • Demonstrated hands-on experience with Epicor configuration and security and with several of the following: BAQs, BPMs, Application Studio, DMT, dashboards, SSRS, REST services, SQL-based troubleshooting, testing, and release support.
  • Demonstrated ability to diagnose complex system, process, data, and integration issues and drive them through root cause to sustainable resolution.
  • Experience gathering requirements, mapping processes, documenting controls and dependencies, and translating business needs into supportable ERP solutions.
  • Strong documentation, communication, facilitation, and stakeholder-management skills across technical and non-technical audiences.
  • Ability to manage competing priorities and operational urgency in a fast-paced, multi-site environment while maintaining appropriate controls and follow-through.
  • Ability to travel occasionally to support site operations, workshops, implementations, integrations, training, or major system changes.

Preferred Qualifications

  • Deep experience with Epicor Kinetic in a multi-site, multi-company, or regulated manufacturing environment.
  • Experience with Epicor Application Studio, BAQs, BPMs, data and method directives, DMT, SSRS, REST APIs, EDI, customizations, and SQL-based troubleshooting.
  • Experience in aerospace and defense or another environment with rigorous quality, financial, cybersecurity, export-control, or customer requirements.
  • Experience with Power BI, Microsoft SQL Server, Excel, SharePoint, Power Platform, middleware, data migration, or master-data governance.
  • Familiarity with SOX ITGC, CMMC, NIST SP 800-171, DFARS, CUI handling, access controls, change management, audit evidence, or regulated business systems.
  • Experience supporting acquisitions, ERP harmonization, site onboarding, consolidation, or enterprise process standardization.
  • Experience applying Lean, Six Sigma, APICS/CPIM, ITIL, or similar practices to business-process and service improvement.
  • Epicor certification or relevant business analysis, project management, supply chain, finance, or continuous-improvement certification.
