The Talent Operations Specialist supports the delivery of centralized, scalable, and service-focused talent operations across the employee lifecycle. This role executes operational processes, maintains data and documentation, responds to inquiries and cases, and supports compliance, reporting, systems, and process improvement activities. This role supports the talent acquisition (TA) recruitment cycle. 

 

Working within established procedures and service-level expectations, the Specialist exercises sound judgment in prioritizing work, resolving routine issues, and escalating exceptions when appropriate. Success in the role requires strong attention to detail, customer service orientation, confidentiality, and accountability while building expertise in Talent Operations processes, systems, and stakeholder needs.

Job Responsibilities:                             

Operational Execution & Service Delivery 

Execute a broad range of centralized Talent Acquisition operational transac

tions, cases, and requests in accordance with established procedures, con

trols, and service standards. Examples include: 

  • Execute Workday recruiting processes for tasks including job requisitions, stakeholder support, system integrations, quality audits, reporting, hiring and any related candidate updates. 

  • Manage virtual and in-person scheduling for interviews and events   

  • Manage onsite interview logistics and interview related travel needs of interview support 

  • Assist with pre-hire tasks as needed, such as background check management and other onboarding tasks. 

  • Process talent lifecycle activities, data updates, records, scheduling, and op
  • erational requests accurately, confidentially and with discretion. 
  • Respond to inquiries through designated service channels. 
  • Resolve routine operational issues and escalate complex matters as needed. 
  • Support compliance, audit, reporting, data validation, and recordkeeping
  • activities. 
  • Perform other duties as assigned in support of Talent Acquisition operations. 

Process Improvement & Documentation  

  • Maintain process documentation, standard operating procedures, knowledge articles, checklists, templates, and stakeholder resources. 
  • Identify documentation gaps, recurring issues, and opportunities to improve
  • process quality, consistency, efficiency, and stakeholder experience. 
  • Support testing, implementation, and documentation of new or enhanced processes, tools, workflows, and service models. 
  • Contribute to knowledge management by capturing lessons learned and frequently used guidance. 

Project, Program & Systems Support 

  • Support projects, programs, cyclical processes, and operational initiatives
  • through task execution, follow-up tracking, and coordination activities. 
  • Prepare routine status updates, communications, meeting materials, and op
  • erational documentation. 
  • Maintain accurate data in Talent Acquisition systems and validate routine re
  • ports and operational outputs. 
  • Identify data discrepancies or operational trends and escalate concerns for
  • review. 

Collaboration & Stakeholder Partnership 

  • Collaborate effectively within and outside the team to ensure an integrated
  • approach to the Talent experience.  
  • Participate in team meetings, training, service reviews, and continuous im
  • provement efforts. 
  • Share insights and best practices that improve service quality and team
  • effectiveness. 
  • Demonstrate adaptability, continuous learning, professionalism, and accountability while working within established guidelines and procedures.

Minimum Requirements

  • H.S. Diploma or equivalent. 

  • 1 years of experience in HR, Talent Operations, Shared Services, Employee Services, Learning Operations, or related operational work. 

  • 1 year using a TA technology SAAS product  

  • Experience following established procedures, maintaining data accuracy, and supporting high-volume operational activities. 

  • Strong communication, customer service, organization, and attention-to-detail skills. 

  • Ability to manage multiple priorities in a fast-paced environment. 

  • Proficiency with Microsoft Office and the ability to learn HR, workflow, reporting, and service management systems. 

Preferred Requirements

  • Bachelor's degree in Human Resources or a related field. 

  • Systems experience in Workday, Yello, First Advantage or similar. 

  • Experience supporting reporting, data validation, process documentation, knowledge management, or continuous improvement efforts. 

  • Experience supporting projects, programs, stakeholder communications, or system/process implementations. 

  • Experience working with cross-functional teams or global/shared-service environments. 

  • Bilingual in Spanish and English to include reading, writing, and speaking
