Job Overview

This associate will provide a wide range of support functions for all clinical systems applications; act as the first line of support for technical issues among the clinical and systems staff members. Will work directly with the systems staff and end users to ensure that clinical systems are properly set up, maintained, and archived, and that users are properly trained to use clinical systems.

Essential Functions

Support Clinical Systems Operations & Interface Management

  • Support the development, implementation, validation, and maintenance of internal and external clinical system interfaces.

  • Provide technical expertise and troubleshooting support for system-related issues and enhancements.

  • Partner with IT and business stakeholders to design, plan, test, and implement system changes, including User Acceptance Testing (UAT).

Ensure Compliance, Quality & Documentation Standards

  • Create, maintain, review, and ensure adherence to Standard Operating Procedures (SOPs), Work Instructions, Project-Specific Guidelines, and system setup documentation.

  • Conduct quality control (QC) checks, identify and document quality issues, and recommend corrective actions to support data integrity and regulatory compliance.

  • Ensure consistent utilization of designated clinical systems, processes, and procedures across assigned projects.

Training activities

  • Develop and deliver training materials and programs on clinical systems, processes, and system enhancements for local, regional, and project teams.

  • Provide ongoing coaching, support, and communication regarding new procedures, system updates, and best practices.

  • Maintain current knowledge through required training and continuous professional development.

Subject Matter Expertise

  • Serve as a Subject Matter Expert (SME) for clinical systems, providing guidance to team members, new hires, and cross-functional stakeholders.

  • Mentor and support less experienced staff and act as a resource for system-related inquiries and operational challenges.

  • Lead or contribute to application enhancements, special projects, and process improvement initiatives as assigned.

Reporting, Metrics & Business Support

  • Utilize advanced system expertise to generate ad hoc queries, reports, and performance metrics that support operational and business requirements.

  • Monitor and understand project and regional financial and performance metrics, providing insights and recommendations as needed.

Project & Operational Support

  • Support successful project execution through system oversight, protocol-related knowledge, timely review and approval of site visit reports, and collaboration with project teams.

  • Ensure clinical systems activities are completed within established timelines and quality expectations.

Continuous Improvement & Industry Awareness

  • Identify opportunities to enhance processes, systems, and workflows, and recommend or implement solutions to improve efficiency and quality.

  • Maintain awareness of industry trends, emerging technologies, and developments in clinical research to promote best practices and innovation.

Qualifications
• Bachelor's Degree in Health or Biological science is required.
• 5-6 years of prior relevant experience as SME, knowledge in clinical systems and admin user experience.

• Ability to run ad hoc queries and reports for a given project.
• Demonstrated knowledge of all relevant associated SOPs/Work Instruction and other guidelines.
• Advanced working knowledge of designated clinical system(s) and/or processes, applicable SOPs and regulations and understanding of system interactions/interdependencies
• Knowledge and ability to work cross-functionally and an understanding of the project team structure.
• Computer literacy required, including well-developed computer skills in MS Word and Excel.
• Effective communication, attention to detail, organizational and problem-solving skills.
