Job Summary
The Clinical/Practice Assistant Lead provides day-to-day leadership and oversight of front desk operations across the Women's Health department, including Maternal Fetal Medicine (MFM), Minimally Invasive Gynecologic Surgery (MIGS), and Assisted Reproductive Technology (ART). This position is responsible for ensuring exceptional patient experiences, efficient scheduling and registration workflows, staff development, and consistent execution of departmental policies and operational standards.The Clinical/Practice Assistant Lead serves as the primary resource for front desk staff, partnering closely with clinical leadership, providers, scheduling teams, revenue cycle, and administrative leadership to promote efficient operations and high-quality patient care.
Qualifications
Essential Responsibilities:
- Provides day-to-day supervision of Clinical/Practice Assistants and front desk staff.
- Assigns, prioritizes, and monitors daily workflow to ensure efficient clinic operations.
- Coaches, mentors, and develops staff through ongoing feedback and training.
- Participates in recruitment, interviewing, onboarding, orientation, and competency assessment of new employees.
- Assists the Practice Manager with performance evaluations, attendance management, scheduling, and corrective action.
- Ensures appropriate staffing coverage and adjusts assignments based on clinic needs.
- Serves as the first point of escalation for operational and staff concerns.
- Serves as the departmental subject matter expert ("Super User") for scheduling, registration, electronic health record, and other front desk applications.
- Promotes accountability, teamwork, and a positive patient-centered culture.
- Performs other duties as assigned to support the operational needs of the department.
Knowledge, Skills & Abilities
- Strong knowledge of ambulatory practice operations, scheduling, registration, insurance verification, and patient access workflows.
- Demonstrated leadership, coaching, and team development skills.
- Excellent organizational, problem-solving, and critical thinking abilities.
- Strong interpersonal and communication skills with the ability to effectively manage difficult situations.
- Ability to prioritize multiple responsibilities in a fast-paced healthcare environment.
- Proficiency with Epic and other healthcare information systems preferred.
- Knowledge of HIPAA, patient confidentiality, and regulatory requirements.
- Commitment to exceptional customer service and patient-centered care.
Qualifications
- High school diploma or equivalent required. Associate or bachelor’s degree preferred.
- Experience in an ambulatory healthcare or physician practice setting 1-2 years preferred.
- Previous experience serving in a lead or supervisory capacity preferred.
- Experience with scheduling, registration, insurance verification, and EPIC.
- Women's Health experience preferred, including familiarity with Maternal Fetal Medicine, Minimally Invasive Gynecologic Surgery, Fertility, or other specialty practice operations.
