Job Description

What is the opportunity?

As Office Coordinator & Executive Assistant, you'll drive operational excellence by managing workplace operations and strategic administrative functions for RBCIS. You'll serve as the central coordinator between RBCIS, Corporate Real Estate, and Building Management while providing targeted executive support to the Managing Director, Enterprise Digital Asset Custody Product Management and Strategy

What will you do?

  • Coordinate workplace services including maintenance requests, access management, office equipment, inventory, supplies, and employee workspace needs.
  • Proactively monitor and enhance workplace operations by identifying operational risks and opportunities, implementing solutions that drive efficiency and employee experience, and independently resolving day-to-day issues.
  • Support workplace initiatives including office moves, reconfigurations, renovations.
  • Develop and recommend process improvements and service delivery solutions that support business objectives and positive employee experience.
  • Partner with Joint Health and Safety Committee to support workplace health, safety, and compliance activities.
  • Coordinate remote oversight of Meadowvale office activities (repairs, neighbourhood maintenance) with on-site volunteer support and occasional site visits.
  • Maintain workplace documentation, floor plans, procedures, and records while ensuring consistent organizational standards.
  • Effectively represent the MD’s and business unit through professional and collaborative interactions with executive assistants across the enterprise, manage travel arrangements, expense reports, and calendar management with attention to cost effectiveness and accuracy.

What do you need to succeed?

Must haves:

  • College Diploma or University graduate preferred or equivalent experience.
  • 3-5 years of administrative support and office management experience in a financial services or corporate setting
  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, external partners and donors.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to details.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability

Compensation for this position (including salary and discretionary/variable payments) will be determined by factors, including but not limited to candidate's experience, skills, registration status, performance, individual goals, market conditions, and business needs.

Pay Range

The expected pay range for this position is:

$46,000.00 - $70,000.00
