Mailroom/Scan Center Lead Assistant Manager

Key Responsibilities

  • Operations Leadership: Coordinate and monitor daily scanning production lines to ensure documents are processed, digitized, and delivered on time.
  • Quality Assurance (QA): Conduct quality checks on digital images to verify readability, completeness, and proper indexing.
  • Team Management: Onboard, train, and mentor new scanning staff. Assign daily workloads and track productivity. 
  • Equipment Oversight: Oversee the operation, daily cleaning, and minor troubleshooting of commercial document scanners. Escalate complex hardware or software issues. 
  • Compliance & Security: Maintain data integrity and confidentiality regarding sensitive client and corporate information. Ensure scanned documents are properly archived or disposed of per retention policies.
  • Reporting & Administration: Maintain daily production logs, track turnaround times, and assist with inventory of scanning supplies. 
  • Customer Support: Serve as a point of contact for clients regarding specific project scopes, document retrieval, and special requests

Qualifications & Requirements

  • Experience: Minimum of 3 years of experience in document management, records management, or a high-volume scanning environment.
  • Supervisory Skills: 1+ years of demonstrated team leadership, scheduling, or staff training experience preferred.
  • Technical Proficiency: Experience with modern document management systems, optical character recognition (OCR), and scanning software (e.g., Kofax).
  • Physical Requirements: Ability to safely lift and move heavy boxes of physical documents, stand for extended periods, and bend/reach.
  • Soft Skills: Exceptional attention to detail, strong time management, and the ability to multitask in a fast-paced production environment


Salary Range: $68k-$82k
