We are looking for an experienced and highly organized Facility & Admin Lead to oversee day-to-day administrative operations, facility management, vendor coordination, and workplace services. The ideal candidate will have 5–10 years of experience in facilities and administration, with strong expertise in managing operations, vendors, office infrastructure, and employee support services.

This role requires someone who can independently manage workplace operations, ensure smooth facility functioning, maintain high service standards, and build strong relationships with internal teams and external vendors. The candidate should be proactive, detail-oriented, and capable of handling multiple operational priorities in a fast-paced environment.

Requirements

Key Responsibilities

  • Manage daily facility and administrative operations, ensuring the workplace is safe, functional, organized, and well-maintained.
  • Oversee office infrastructure, housekeeping, security, maintenance, pantry, utilities, seating arrangements, and other workplace services.
  • Manage relationships with facility-related vendors and service providers, including contract negotiation, service monitoring, issue resolution, and performance evaluation.
  • Coordinate vendor onboarding, documentation, purchase orders, invoices, service agreements, and payment follow-ups.
  • Establish and monitor service-level standards to ensure vendors consistently meet quality, cost, and turnaround-time expectations.
  • Plan and manage preventive and corrective maintenance activities for office facilities, equipment, electrical systems, HVAC, plumbing, and other infrastructure.
  • Handle facility budgets, operational expenses, procurement requirements, and cost optimization initiatives.
  • Ensure compliance with workplace safety standards, statutory requirements, building regulations, and internal administrative policies.
  • Coordinate office moves, expansions, renovations, seating changes, and other facility-related projects.
  • Maintain accurate records of assets, contracts, vendor information, maintenance schedules, and administrative documentation.
  • Develop and implement standard operating procedures for facility and administrative processes.
  • Act as the primary point of contact for employees regarding workplace and facility-related concerns and ensure timely resolution.
  • Coordinate with HR, Finance, IT, Security, and other internal teams to ensure seamless office operations.
  • Monitor workplace requirements and proactively identify opportunities to improve operational efficiency, employee experience, and cost effectiveness.
  • Support emergency preparedness, business continuity, and workplace safety initiatives.

Must-Have Skills

  • Strong expertise in Facility Management and Administration
  • Excellent Operations Management skills
  • Proven experience in Vendor Management and Service Provider Coordination
  • Strong knowledge of workplace infrastructure, maintenance, housekeeping, security, and office services
  • Experience in budgeting, procurement, invoice management, and cost control
  • Strong negotiation, communication, and stakeholder-management skills
  • Ability to manage multiple vendors, projects, and operational priorities simultaneously
  • Strong problem-solving and decision-making abilities
  • Proficiency in MS Office/Google Workspace and administrative management tools

Good-to-Have Skills

  • Experience in Travel Management, including flight, hotel, cab, and employee travel coordination
  • Exposure to corporate travel policies and travel expense processes
  • Experience managing travel agencies and corporate travel vendors
  • Knowledge of facility management or workplace management software

Experience

5–10 years of relevant experience in Facility Management, Administration, Workplace Operations, Corporate Services, or a similar role.
