As a National Billing Administrator - Associate 2, you will play a crucial role in managing financial records, analyzing data, and assisting in compliance with accounting standards. Within our Internal Firm Services practice, you will focus on providing accurate financial information and insights to support decision-making. As an Associate, you will be driven by curiosity and contribute to projects while developing your skills and knowledge to deliver quality work. Responsibilities
- Managing financial records and conducting data analysis to support compliance with accounting standards
-Client Service
-Maintain and build internal and external client relationships by providing exceptional client service
-Commit to proactively connecting and building rapport with both internal and external clients
-Assist with resolving complex client issues and suggest favourable solutions
Invoicing
-Maintain client codes in the firm’s proprietary accounting software based on information provided by the partner and/or manager .
-Validate the job record billing details and add projects to the job, if required
Confirm invoicing arrangements with the client representative prior to issuing the first invoice to ensure high accuracy
-Monitor WIPs, review engagement letters to determine fees to be charged, and liaise with practice managers to capture out of pocket expenses
-Draft, finalize, and issue invoices to clients on a timely basis to support achievement of partners’ monthly billing targets
-Reconcile and relieve related time and expense charges in the firm’s proprietary accounting software
-Liaise with practice managers to ensure internal revenue allocations are agreed in advance and billed as part of the progress billing cycle where applicable
-Respond to client queries regarding invoices, including preparation of analyses and preparation of amended invoices when required (as directed by the partner/manager)
-Prepare, finalize and issue credit notes
-Prepare bad debt request forms or cash transfer request forms with partner approval
-Update and manage billing schedules
WIP Management
-Prepare monthly detailed analysis of WIP (as required by the partner/manager) to ensure the WIP value reflects what is expected to be recovered in fees from the client. Prepare month-end WIP provisions for review with partner/manager to properly value WIP
-Monitor the partner’s overall financial investment, including WIP, A/R and cash collection actuals to target and develop action items to achieve these
-Track fees against budget to confirm proper WIP valuation
-Generate reports using the firm’s proprietary accounting software to help monitor a partner’s engagement economics Advise on unusual WIP activities or budget rates that fall outside of the normal thresholds
-Update and maintain billing schedules
-Respond to queries in relation to engagement financial performance
-Prepare and maintain Year-to-Date fee summaries as required
Accounts Receivables
-Monitor partners’ monthly cash collection target and actual cash to support achievement of target
-Respond to requests from National Finance with respect to cash allocations
-Initiate reminders to clients and diligently follow up to ensure timely resolution, as directed by manager/partner
-Pull monthly aged A/R reports and review with partner to determine actions required for aging accounts
-Work with your manager to escalate outstanding collections with Third Party Collections, as directed by partner
-Maintain A/R notes against the bill record to describe any follow up activities performed
-Review the Electronic Funds Transfer database and post dated cheques log regularly, and action tickets as required
- Assisting in the preparation and presentation of financial reports to provide insights for decision-making
- Engaging in financial budgeting and forecasting to optimize financial performance
- Supporting risk management initiatives by analyzing financial transactions and identifying potential issues
- Collaborating with team members to gather and analyze information from various sources
- Applying accounting and financial reporting standards to maintain accuracy in financial documentation
- Utilizing financial statement analysis to discern patterns and inform strategic guidance
- Participating in stakeholder management to address diverse perspectives and needs
- Contributing to the development of financial policies and procedures to enhance operational efficiency
- Adapting to a fast-paced environment and taking ownership of tasks to deliver quality work

What You Must Have
- At least a High School Diploma or the equivalent degree
- At least 1 years of experience
- Oral and written proficiency in English required
What Sets You Apart
- Preference for a Bachelor's degree in at least one of the following fields of study: Accounting, Accounting & Finance, Accounting & Technology, Management Information Systems
- At least one of the following: Certified Certified Public Accountant (CPA), Certified Certified Information Systems Auditor (CISA), Certified Fraud Examiner (CFE), Certified Certified Internal Auditor (CIA)
- Demonstrating proficiency in Accounting and Financial Reporting Standards
- Utilizing skills in Financial Statement Analysis and Preparation
- Applying knowledge of Financial Budgeting and Forecasting
- Engaging in Account Reconciliation and Financial Transactions
- Excelling in Presenting Financial Reports and Stakeholder Management
