Sales Assistant (CRM, Sales Support & Pipeline Coordination) – Remote | U.S. Hours

About the Role

At Pavago, one of our clients is hiring a highly organized and proactive Sales Assistant to support daily sales operations, CRM management, scheduling, reporting, proposals, and client communication.

This role is designed to keep the sales process organized and moving forward so Account Executives and sales leaders can focus on selling, closing deals, and building client relationships.

This is more than an administrative support position. You’ll help maintain pipeline accuracy, coordinate follow-ups, prepare sales materials, and ensure no lead, task, or opportunity slips through the cracks.

What You’ll Own

CRM Management & Pipeline Support

  • Maintain accurate records for leads, contacts, deals, and opportunities.
  • Update pipeline stages, notes, activities, and follow-up tasks.
  • Work within CRM platforms such as:
    • HubSpot
    • Salesforce
    • Zoho
    • Pipedrive
  • Identify and clean duplicate, incomplete, or outdated records.
  • Maintain strong CRM hygiene and pipeline visibility.
  • Ensure sales activities and next steps are properly documented.

Scheduling & Sales Coordination

  • Schedule:
    • Discovery calls
    • Sales meetings
    • Product demos
    • Follow-up calls
    • Internal meetings
  • Coordinate calendars across multiple time zones.
  • Use Google Calendar, Outlook, Calendly, or similar scheduling tools.
  • Manage confirmations, reminders, reschedules, and calendar changes.
  • Ensure sales representatives have the necessary context and materials before meetings.

Proposals & Sales Documentation

  • Draft, format, proofread, and organize:
    • Proposals
    • Quotes
    • Presentations
    • Sales collateral
    • Client-facing documents
  • Support RFP and RFI preparation when required.
  • Create polished materials using Google Slides, PowerPoint, Canva, or similar tools.
  • Maintain organized records of contracts and sales documentation.

Sales Reporting & Operations

  • Prepare weekly and monthly sales reports.
  • Maintain pipeline summaries and leadership dashboards.
  • Track metrics including:
    • Pipeline movement
    • Sales activity
    • Conversion rates
    • Follow-up completion
  • Assist with forecasting and operational reporting.
  • Keep reporting data accurate, organized, and accessible.

Client Communication & Follow-Up

  • Draft professional:
    • Follow-up emails
    • Meeting recaps
    • Reminders
    • Client communications
  • Support inbound lead routing and prospect coordination.
  • Track outstanding follow-ups and ensure they are completed on time.
  • Coordinate communication between prospects, sales representatives, and internal teams.
  • Maintain a professional customer experience throughout the sales process.

Cross-Functional Coordination

  • Work with Sales, Marketing, Finance, and Operations teams.
  • Coordinate contracts, approvals, documentation, and internal handoffs.
  • Support smooth transitions from prospect to customer onboarding.
  • Help identify and resolve administrative bottlenecks affecting the sales process.

Required Experience & Skills

  • 1–2+ years of experience in sales support, sales coordination, administrative support, or operations.
  • Experience working with CRM platforms such as:
    • HubSpot
    • Salesforce
    • Zoho
    • Pipedrive
  • Strong proficiency with Google Workspace or Microsoft Office.
  • Experience coordinating meetings, calendars, and follow-ups.
  • Excellent written English communication skills.
  • Strong attention to detail and organizational ability.
  • Ability to prioritize multiple tasks and deadlines.
  • Comfortable working independently in a remote environment.
  • Availability during U.S. business hours.

Nice to Have

  • Experience supporting B2B sales teams or Account Executives.
  • Experience preparing proposals, quotes, or sales presentations.
  • Familiarity with SDR/BDR or lead-generation workflows.
  • Experience in SaaS, agencies, professional services, or other sales-driven businesses.
  • Spreadsheet and reporting experience, including:
    • Pivot tables
    • Dashboards
    • KPI tracking
  • Familiarity with sales forecasting and pipeline reporting.

What a Typical Day Looks Like

Your day may start by reviewing the CRM for missing information, upcoming meetings, and overdue follow-ups. You’ll coordinate demos and sales calls, prepare proposals and presentations, update pipeline stages, and make sure Account Executives have everything they need before client conversations.

Throughout the day, you’ll follow up with prospects and internal teams, maintain dashboards, prepare reports, and coordinate sales-to-onboarding handoffs.

In short: you keep the sales engine organized, accurate, and moving so the sales team can focus on generating revenue.
