This position needs the ability to adapt, direct and multi-task, and should demonstrate exemplary organizational skills. Job responsibilities: Assist with maintaining information tracking sheets for academics. Assist with scanning documents for academics. Operates a variety of office equipment, computer, printer, photocopies, facsimile, scanner and calculator, projector. Responsible for auditing faculty and maintaining academic hard and electronic files for academic programs and notifying appropriate individuals of missing or outdated documentation. Coordinate live scan and follow through with all live scan documentation. Assist with updating program specific forms. Assists deans/directors with uploading advising, change in student status for graduation, withdrawals, and other records, including scanning & uploading documents to CVUE, Anthology/Power BI and various other spreadsheets and databases. Attends meetings on behalf of the Dean as delegated and needed. Responsible for auditing faculty & student files for academic programs and notifying appropriate individuals of missing or outdated documentation. Ability to travel to different campuses as needed. Take meeting minutes (including faculty, committee, PAC, Student Rep meetings). Assist with Student and Campus Activities (pinning, graduation, regulatory meetings). Schedule and follow up on hiring interviews. Set up and managing of Course Key locations for student clinical rotations. Collecting, notifying and managing documents from Faculty and students for clinical rotation compliance. Ordering and maintaining office supplies. Ordering and management of uniforms each semester for nursing students. Assist with onboarding of new didactic and clinical faculty. Regular, in-person attendance up to 5 days per week on campus/on site is an essential function of this position This role requires on-site collaboration with students, faculty, and staff Other duties as assigned. QualificationsHigh school or equivalent certificate. 2+ years of Administrative related experience supporting a team or multiple teams. Ability to maintain records. Learn & maintain information on Microsoft Office 365 (Word, Excel, PowerPoint) and Teams. Ability to shift quickly from one task to another maintaining productivity. Must be capable of communicating effectively verbally and in writing. Has medical terminology knowledge or work experience in health care.
