The Sourcing Administrator is responsible for supporting and coordinating negotiations within the tactical supply (indirect goods and services), ensuring the supply for the designated area, offering the best alternative for the company, in terms of cost, characteristics and services. Achieve savings through negotiations and cost-cutting initiatives. 

By being part of this team, you will work from Monday to Friday, 09:00-18:00, in a hybrid way from Bucharest. This role is offered on a fixed-term contract for a duration of 2 years.

How you’ll make an impact:

• Supports the negotiation process for goods and/or services necessary for tactical stakeholders, ensuring compliance with the procurement context and policy;

• Identifies the best existing suppliers on the market, ensuring that the terms of the transaction are favorable for the company in terms of criteria such as:

• ​Cost: Price, shipping, payment terms;

• Characteristics: quality, duration, presentation, performance, economy in operation;

• Services (Added Value): Delivery time, warranty, service and maintenance;

• Ensuring the timely delivery and quality of the information required for Local, Regional and Global Procurement services;

• Monitors and evaluates the performance of suppliers in order to meet the requirements of goods and services of the organization;

• Ensures visibility (through the Procurement system) on the price list negotiated with suppliers, on contracts and SLAs;

• Updates the procurement systems with data on commercial agreements negotiated with suppliers;

• Tracks and monitors purchase requsitions in order to provide the necessary information to stakeholders;

• Daily analysis of end-user demand and system update upon receipt of their requirements;

• Contacts stakeholders to ensure a good understanding of their requirement;

• Weekly/Monthly analysis of planned demand in the Coupa to ensure on-time delivery;

• Developes their own technical and inter-relational skills according to what is established and agreed in the personal development plan;

• Supports the Procurement Manager in defining the strategy and improvement initiatives;

• Ensures that all information regarding sourcing process and negotiations is up-to-date and recorded for audit purposes;

• Establish good relationship with business partners/stakeholders, internal and expternal, in order to ensure smooth tender process;

• Ensures a continuous flow of communication, necessary for a successful sourcing process;

• Identifies new products and services that meet the needs of business operations and informing stakeholders when appropriate;

• Supports and implementing continuous improvement of business operations and identifying opportunities to improve the procurement process;

• Montiors and permanently improves working practices in order to apply the lessons learned;

• Stimulating the continuous improvement of processes, technology and tools, in order to support the optimization of Sourcing process.

Skills that make your work successful:

• You have advanced Polish & English skills;

• Detailed knowledge of Procurement processes, methods and techniques;

• Understanding the dynamics of supply business management;

• MS Office – advanced level of knowledge and use;

• MS PowerPoint – medium/advanced level – must be able to prepare presentations for leadership; 

• Extracting reports and analyzing the accuracy and correctness of the data contained in the reports (minimum knowledge Power BI)

• Organizing and prioritizing your own activity;

• Ability to adapt the communication style to the audience level (Good interpersonal skills and communication skills);

• Demonstrated negotiation skills and influencing power;

• The ability to assess risks and be aware of them, if they are not able to meet the objective on time;

• Issuing accurate reports, performing partial analyses;

• Ability to support and initiate process improvement initiatives at regional or global level, applicable to the team.
