Position Summary
The Service Dispatch Coordinator coordinates field service operations from work order creation through billing readiness. This position dispatches technicians, manages work orders in Microsoft Dynamics 365 Field Service, supports scheduling across multiple jobsites, captures billable out-of-scope work, verifies technician documentation, and helps ensure accurate and timely billing. The role supports both warranty service and hyperscale construction startup projects where technicians frequently move between sites and perform L2-L5 support.
Key Responsibilities
- Create, update, dispatch, and close work orders in Microsoft Dynamics 365 Field Service.
- Dispatch technicians to warranty, startup, construction, emergency, and customer-requested work.
- Coordinate technician movement between project sites based on operational priorities.
- Generate work orders for out-of-scope work to ensure labor and revenue are captured.
- Maintain accurate scheduling, customer, asset, and work order records.
- Review technician labor, notes, expenses, and documentation prior to billing.
- Support Accounting by preparing completed work orders for invoicing.
- Communicate professionally with customers, technicians, Site Leads, Project Managers, and Operations.
- Generate operational reports and assist with continuous process improvement.
- Perform other duties as assigned.
Required Qualifications
- 2+ years of dispatching, service coordination, scheduling, or field service administration experience.
- Experience with field service or dispatch platforms (Microsoft Dynamics 365 Field Service, ServiceTitan, ServiceTrade, Salesforce Field Service, SAP, Oracle Field Service, Maximo, ServiceNow, or similar).
- Experience with data entry, work order management, and billing support.
- Strong organizational, communication, and multitasking skills.
- Proficiency with Microsoft Office (Excel, Outlook, Teams).
Preferred Experience
- Construction, mechanical, HVAC, industrial service, or data center environments.
- Understanding of technician scheduling and resource planning.
- Ability to thrive in a fast-paced, high-volume service organization.
