Job Description Summary

We are seeking a highly organized and proactive professional to support business operations and leadership priorities in a fast-paced environment. The successful candidate will be a trusted partner known for their strong communication skills, attention to detail, sound judgment, and ability to effectively manage multiple priorities while delivering a high level of service and support.

Our Beachwood site, home to MIM Software within GE HealthCare’s Advanced Imaging Solutions segment, develops AI-enabled imaging analytics and workflow platforms that help clinicians turn complex medical images into meaningful insights, so they can diagnose conditions, plan treatments, and deliver more personalized patient care. This role will be supporting this side of the business.

Job Description

Role & Responsibilities 

  • Provide comprehensive administrative support to the MIM General Manager including calendar management, meeting coordination, travel arrangements, and day-to-day operational support. 

  • Prepare presentation materials, reports, correspondence, meeting agendas, emails, and other internal and external communications. 

  • Prepare and distribute reports and communications on a regular schedule. 

  • Maintain files, databases, organizational records, archives, distribution lists, team calendars, and other relevant documentation. 

  • Manage inquiries, and respond to or route requests from internal and external stakeholders with appropriate follow-up and communication. 

  • Schedule and coordinate meetings, customer visits, conferences, domestic and international travel, and other group activities. 

  • Work collaboratively across MICTX and GE HealthCare leadership and administrative staff, fostering strong partnerships and supporting organizational priorities. 

  • Handle highly confidential and sensitive information with the highest degree of professionalism, discretion, and integrity. 

  • Support hiring and onboarding activities by coordinating interview schedules, greeting candidates, facilitating onboarding activities, and helping ensure a positive 

  • employee experience. 

  • Utilize and train others on contemporary collaboration tools and company systems to support effective meetings, events, communication, and productivity. 

  • Coordinate team events, employee engagement activities, MUTTS events and other organizational programs. 

  • Support space planning for multiple teams, and assist with new hire onboarding and workspace preparation. 

  • Update and maintain organizational charts and team calendars. 

  • Prepare and submit expense reports in a timely manner and assist with invoicing and other administrative processes as needed. 

  • Manage office supplies, conference room coordination, organizational distribution lists, and other routine business operations. 

  • Support special projects and provide additional administrative and operational assistance as required. 

Required Qualifications 

  • High school diploma/GED with 5+ years of relevant experience.

  • Strong organizational, planning, and prioritization skills. 

  • Ability to manage multiple activities simultaneously in a fast-paced environment. 

  • Excellent written and verbal communication skills. 

  • High level of professionalism and discretion when handling confidential information. 

  • Strong collaboration and relationship-building skills across leaders, teams, and functions. 

  • Proficiency with Microsoft Office and modern collaboration tools.
