Location: McHenry, IL
Hybrid Schedule: 3 days onsite | 2 days remote
Hourly Range: $24-$26 per hour

In this role, you'll serve as the primary point of contact for managing serialized capital equipment throughout its lifecycle. You'll work closely with hospitals, internal departments, and our Sales team to maintain accurate equipment records, conduct inventory audits, support customer projects, and ensure the integrity of our equipment management processes.

What You'll Do
As our Account Specialist, you will:
- Manage and maintain accurate records for serialized capital equipment within our ERP system.
- Conduct inventory audits by reconciling equipment records and investigating discrepancies.
- Partner directly with hospitals and healthcare customers to verify equipment inventories and resolve inventory issues.
- Collaborate with the Sales team on customer equipment projects, implementations, and inventory initiatives.
- Coordinate equipment transfers, shipments, returns, and demo equipment for customers and internal teams.
- Monitor equipment throughout its lifecycle to ensure accurate tracking and reporting.
- Process equipment orders, Return Merchandise Authorizations (RMAs), billing transactions, credits, debits, and account adjustments.
- Research and resolve discrepancies involving serialized equipment, shipping, repairs, and customer accounts.
- Recommend process improvements that increase efficiency and improve data accuracy.
- Maintain detailed documentation of customer interactions and equipment activity.
- Support internal departments by providing timely responses to equipment and account inquiries.
- Assist with system testing and process enhancements related to capital equipment programs.
- Ensure compliance with HIPAA requirements while maintaining customer records.
What We're Looking For:
Required Qualifications
- High school diploma or GED required.
- Minimum of three years of experience in customer service, account management, inventory control, equipment administration, logistics, operations, or a related field.
- Strong Microsoft Excel and Windows computer skills.
- Excellent analytical and problem-solving abilities.
- Exceptional attention to detail and data accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities while meeting deadlines.
Preferred Experience
We're especially interested in candidates with experience in:
- Serialized equipment management
- Asset management
- Inventory control or inventory auditing
- ERP systems (SAP, Oracle, Dynamics, JD Edwards, NetSuite, etc.)
- Healthcare or medical device environments
- Capital equipment administration
- Customer account management
- Equipment logistics and tracking
- Cross-functional project coordination
