POSITION SUMMARY:
Manage and lead the Company's fuel excise tax compliance function, including federal, state, and local regulatory reporting, tax accounting, audit defense, tax research, internal controls, and process improvement initiatives. Ideal candidates enjoy improving processes, leveraging technology, and transforming traditional compliance activities into scalable business solutions. Provide leadership and oversight to onshore and offshore fuel tax team members while ensuring timely, accurate, and compliant fuel tax filings across multiple jurisdictions. Serve as the primary subject matter expert for fuel excise tax matters and partner closely with Accounting, Finance, Operations, Legal, and Information Technology teams to support business initiatives, minimize tax risk, maintain a strong control environment, and drive continuous process improvements. Responsible for managing fuel tax audits, supporting financial reporting requirements, and leveraging technology and automation to enhance compliance efficiency and data accuracy.
ESSENTIAL JOB FUNCTIONS:
- Lead and manage the onshore and offshore fuel tax teams in the preparation, review, filing, and payment of federal, state, and local fuel excise tax returns, schedules, and related regulatory reports.
- Ensure all monthly, quarterly, and annual fuel tax reporting obligations are completed accurately and timely while maintaining compliance with applicable laws and regulations.
- Manage and review fuel tax accruals, tax journal entries, balance sheet reconciliations, tax expense account reconciliations, and related supporting documentation.
- Lead fuel tax audits and examinations by coordinating audit requests, gathering supporting documentation, responding to inquiries, and communicating directly with federal, state, and local taxing authorities.
- Manage research, analysis, and resolution of tax notices, assessments, refund claims, and other regulatory matters.
- Maintain and strengthen fuel tax compliance controls, SOX narratives, process documentation, and control monitoring activities to support regulatory compliance and financial reporting requirements.
- Partner with Fuel Accounting, Finance, Operations, Legal, and Information Technology teams to identify and resolve tax reporting issues and support business initiatives.
- Research and interpret fuel excise tax laws, regulations, rulings, and emerging developments and communicate business impacts to leadership and key stakeholders.
- Evaluate the tax implications of new products, business initiatives, acquisitions, operational changes, and system implementations.
- Identify opportunities to improve compliance processes, automate manual activities, enhance reporting accuracy, strengthen controls, and reduce operational risk.
- Support implementation and optimization of fuel tax and financial systems, including PDI, Avalara, ERP platforms, and other reporting technologies.
- Stay current on fuel excise tax laws, regulations, industry developments, tax rates, and accounting standards through research, professional organizations, continuing education, and industry publications; communicate changes and ensure proper implementation throughout the organization.
- Support departmental and organizational objectives through strong leadership, accountability, collaboration, customer service, and employee development.
QUALIFICATIONS
- Bachelor’s degree in accounting, finance, tax, or related field required; CPA, CMI, MST, or similar certification preferred
- Experience in fuel excise tax, indirect tax, sales and use tax, excise tax, transportation tax, public accounting, or related tax functions.
- Demonstrated leadership experience managing employees, offshore resources, vendors, or cross-functional projects.
- Strong understanding of general ledger accounting, accruals, reconciliations, financial controls, and compliance documentation.
- Advanced Excel skills required; experience with PDI, Avalara, Akore, Power BI, Power Query, Alteryx, or similar tools preferred.
- Strong written, verbal, analytical, organizational, and problem-solving skills, with the ability to manage deadlines and communicate effectively with internal and external stakeholders.
