VP, Project Management Operations

Position Overview

As Vice President, Project Management Operations, you will serve as a senior leader within the agency, responsible for driving operational excellence and ensuring the seamless execution of complex, multi-channel projects across portfolios. You will oversee a team of project management professionals and work cross-functionally with department leaders to implement scalable processes, manage resourcing at an organizational level, and ensure delivery against business, financial, and client goals.

This role is both strategic and hands-on, requiring deep experience in pharma advertising, the ability to optimize workflow across departments, and the leadership skills to influence teams and outcomes across the agency.

Role Requirements:

  • Provide strategic oversight of the project management function across key client portfolios, ensuring operational rigor and delivery excellence.
  • Lead a team of project managers and project directors, offering guidance, mentorship, and performance management to drive team growth and agency success.
  • Partner with senior agency leadership (Account, Strategy, Creative, Medical, Operations) to align project management strategies with broader business objectives.
  • Oversee project budgets, scopes, and timelines at both the account and portfolio level; ensure profitability and compliance with client agreements.
  • Lead the creation and refinement of operational processes, tools, and systems to enhance cross-functional collaboration and project transparency.
  • Serve as a primary escalation point for project delivery issues, proactively identifying risks and implementing mitigation strategies.
  • Oversee the development of Statements of Work (SOWs) and collaborate closely with Finance and Business Management teams to manage financial performance.
  • Guide resourcing conversations and capacity planning in partnership with Resource Management, ensuring optimal team utilization.
  • Maintain high visibility across departments and contribute to agency-wide initiatives, change management efforts, and operational strategy.
  • Represent the project management discipline in executive forums, contributing to planning, growth, and innovation initiatives.

Preferred Qualifications

  • 12+ years of experience in project management within pharmaceutical advertising or healthcare communications.
  • Proven experience managing cross-functional teams and overseeing complex, multi-channel campaigns in both HCP and DTC spaces.
  • Bachelor’s degree required; advanced degree a plus.
  • Strong leadership skills with a demonstrated ability to grow and develop high-performing teams.
  • Deep understanding of agency workflows, budget management, and end-to-end production processes.
  • Skilled in developing and implementing scalable project management methodologies and tools.
  • Confident communicator with excellent interpersonal and client-facing skills.
  • Proficiency in project management platforms (e.g., Workfront, Smartsheet, Asana) and operational reporting tools.

 

Salary Range: $175,000 - $200,000

BGBx is headquartered in New York City, and the salary range listed reflects the expected base compensation for this role in the New York City metropolitan area. This position may be performed remotely within the United States. For candidates located outside the New York City area, compensation will be adjusted to reflect the applicable market for the employee’s primary work location. Final compensation will be determined based on geographic location, experience, qualifications, and other job-related factors.
