The Role

The Senior Executive Assistant to the CEO & Executive Office serves as a trusted partner and force multiplier to the Chief Executive Officer, enabling the CEO to focus on the company’s highest-value strategic priorities. This role proactively manages executive time, information flow, communications, travel, meeting preparation, governance activities, and follow-through, ensuring the CEO operates with maximum effectiveness in a fast-paced, high-growth environment.

This is a CEO-first role that also supports the broader Executive Office by coordinating key leadership routines, board and executive meetings, and enterprise priorities. Support provided to other senior leaders is focused on enterprise-level coordination and initiatives that directly support the CEO’s agenda and organizational effectiveness.

Key Responsibilities

CEO Effectiveness & Executive Support

• Serve as the primary point of contact for the CEO, managing correspondence and communications on their behalf with professionalism, discretion, and sound judgment.

• Own and proactively manage the CEO’s calendar, priorities, travel, expenses, and daily operating flow; protect strategic time and resolve conflicts in a fast-moving agenda.

• Prepare concise briefing materials, agendas, talking points, presentations, and meeting packets that help the CEO enter meetings prepared and focused on decisions needed.

• Screen, prioritize, draft, and coordinate executive communications on behalf of the CEO as appropriate, ensuring clarity, accuracy, and consistency of tone.

• Anticipate CEO needs, identify potential issues before they escalate, and use judgment to route, resolve, or elevate matters appropriately.


Meeting, External Stakeholder & Governance Support

• Support board meeting coordination, including logistics, material development, pre-read coordination, meeting notes, and follow-up action tracking.

• Safeguard highly confidential and sensitive information, including board, legal, financial, customer, employee, and strategic materials.

• Coordinate with internal leaders and external stakeholders to ensure governance materials, pre-reads, and meeting logistics are complete, accurate, and delivered on time.


CEO/SLT Operating Cadence

• Coordinate the administrative rhythm of the CEO’s operating system, including CEO staff meetings, Senior Leadership Team meetings, operating reviews, executive offsites, board preparation, and key follow-through routines.

• Partner with the CEO, Chief of Staff, and Senior Leadership Team to coordinate CEO-sponsored priorities, leadership meeting preparation, and cross-functional follow-up on commitments.

• Maintain a forward-looking executive calendar that aligns board meetings, SLT meetings, company meetings, customer/investor events, operating reviews, travel, and strategic initiatives.

• Track action items, decisions, commitments, and next steps from CEO/SLT meetings; help ensure owners understand expectations and follow-up items remain visible.

• Support clear information flow between the CEO, Senior Leadership Team, other organizational leaders and key internal partners while maintaining appropriate confidentiality and escalation discipline.


Executive Office Operations

• Coordinate executive-office vendor, technology, catering, meeting-room, document, and hospitality needs for CEO, SLT, board, and other high-priority executive activities.

• Plan and support CEO-sponsored executive meetings, leadership offsites, board-related events, and selected employee engagement moments directly connected to the Executive Office.

• Maintain organized executive-office files, contact lists, recurring meeting rhythms, critical records, and materials needed to support the CEO and leadership operating cadence.

• Coordinate complex travel, itineraries, and logistics for the CEO and, when directly connected to CEO/enterprise priorities, select Senior Leadership Team activities.

• Escalate routine facilities, office moves, supplies, site-level administration, and department-specific meeting support to the appropriate functional owner.

Minimum Requirements

• Bachelor’s degree or an equivalent combination of education and experience.

• 5+ years of executive or personal assistant experience supporting C-suite leaders; experience supporting a CEO, President, or enterprise executive strongly preferred.

• Advanced proficiency in Microsoft 365, including Outlook, Word, PowerPoint, Excel, Microsoft Teams, SharePoint/OneDrive, and Concur; comfort with collaboration, task-tracking, and executive productivity tools.

• Ability to lead projects and responsibilities with little or no supervision while knowing when to escalate sensitive or ambiguous matters.

• Excellent time-management, prioritization, organizational, calendar-management, and follow-up skills.

• Exceptional written and verbal communication skills, including the ability to prepare polished executive communications, presentations, agendas, briefing materials, and meeting notes.

• Discretion, diplomacy, and excellent judgment, with a high degree of integrity when handling confidential and sensitive information.

• Emotionally intelligent, with strong interpersonal awareness, executive presence, and the ability to build trust across multiple stakeholder groups.

• Proactive, positive, resilient, and resourceful, with a strong sense of ownership and a “no job too large or too small” mentality within the scope of the Executive Office.

• Strong problem-solving skills, attention to detail, and ability to manage multiple priorities in a fast-paced, quickly changing environment.

• Self-motivated, with a strategic mindset and the ability to understand business context, anticipate needs, and connect administrative execution to enterprise priorities.

• Skilled in the use of standard office equipment and executive meeting technology, including video-conference room setup and coordination.


Preferred Qualifications

• 8+ years of executive assistant, senior administrative, or comparable executive support experience.

• Experience in a high-growth, multi-site, manufacturing, industrial, distribution, private-equity-backed, and transformation-oriented environment.

• Experience using AI-enabled productivity tools, Microsoft Suite, and video meeting platforms

This is an in-office position based in our Burnsville, MN location.
