The Shipping Associate is responsible for managing the flow of products and materials to customers, ensuring accurate inventory and timely delivery. Duties include sorting, packing, labeling, and shipping goods, as well as maintaining records and using document management systems. This position also plays a role in inventory control and quality assurance.
What You Will Do
- Process all orders entered into the ERP system for shipment.
- Pull, verify, and package products from inventory.
- Coordinate shipments to ensure products arrive at the customer location in good condition and at the required temperature.
- Prepare domestic shipments and assist with international shipments, including customs documentation, as applicable.
- Communicate with Customer Service, Product Packaging, and other departments to ensure orders are fulfilled accurately and on time.
- Partner with Customer Service to accommodate special shipping requests and prepare any required custom documentation.
- Verify labeling matches Customer Service notes for custom orders.
- Extract product data sheets and packing slips from the ERP system and server to include with shipments.
- Confirm products, documentation, and data sheets are accurate prior to shipment.
- Record shipment details, product lot numbers, tracking information, and other required documentation in the ERP system.
- Process shipping labels through external carrier systems and schedule carrier pickups as needed.
- Perform outbound delivery checks to identify and resolve open order discrepancies with Customer Service or Product Packaging before shipment.
- Verify all scheduled shipments have been picked up by the carrier.
- Maintain adequate inventory of shipping supplies and notify management when replenishment is needed.
- Perform routine cycle counts and assist with inventory audits to maintain inventory accuracy.
- Investigate and report inventory discrepancies as needed.
- Follow established quality procedures, standard operating procedures (SOPs), and applicable company policies to ensure shipment accuracy and compliance.
- Maintain a clean, organized, and safe shipping workspace in accordance with company safety and quality standards.
- Provide backup support to the Product Packaging department as needed.
- Perform other duties as assigned by management.
Who You Are & What You Bring
Education and Experience
- High school diploma or GED equivalent required.
- Shipping, warehouse, or distribution experience preferred, not required
- Experience with Microsoft Dynamics 365 (D365) or a similar ERP system is highly preferred, not required
- Experience operating pallet jacks, hand trucks, or forklifts preferred, not required
- Experience preparing international shipments, including customs documentation, is a plus, not required
- Experience in manufacturing, life sciences, pharmaceutical, or other regulated environment is preferred, not required
Knowledge, Skills, and Abilities
- Detail-oriented with strong organizational skills.
- Basic computer proficiency, including Microsoft Outlook, Excel, and ERP systems.
- Strong verbal and written communication skills.
- Ability to prioritize multiple tasks and meet daily shipping deadlines in a fast-paced environment.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Strong attention to detail with a commitment to shipment accuracy and quality.
- Ability to identify and resolve shipping or inventory discrepancies.
- Ability to stand and walk for extended periods.
- Ability to work in refrigerated or freezer environments as needed.
- Ability to stand, walk, bend, reach, and lift up to 50 pounds throughout the workday.
- Ability to work safely while handling shipping materials and warehouse equipment.
