Stores Controller I
Overview
The main objective of the Stores Controller is to ensure accurate, efficient, and cost-effective management of the Engineering Stores inventory, guaranteeing that the right spares and materials are available at the right time to support the Maintenance team and minimise unplanned production downtime.
Purpose: The purpose of the role is to maintain full inventory integrity, control costs, prevent stock losses, and provide reliable support to the Maintenance department through professional stores management, accurate SAP-PGT transactions, and compliance with company policies.
Scope: The role covers the complete end-to-end management of all engineering spares, consumables, tools, and materials used across the bakery (Plant 1 & 2, utilities, refrigeration, packaging, and ancillary equipment). This includes receipt, storage, issue, returns, repairs, cycle counting, and obsolescence management.
Responsibilities
- Receive, inspect, and accurately GRV all incoming spares and materials in SAP-PGT
- Issue spares to artisans and contractors against approved job cards or requisitions
- Perform regular cycle counts, full stock takes, and maintain 100% inventory accuracy
- Manage minimum/maximum stock levels and raise timely purchase requisitions
- Identify, segregate, and process obsolete, damaged, or redundant stock for write-off
- Ensure proper storage, labelling, FIFO principles, and safe handling of all items
- Close open POs, clear GRVs, and reconcile invoices with Finance
- Coordinate with suppliers for returns, repairs, and warranty claims
- Generate accurate stores reports (stock value, slow-moving items, consumption trends)
- Enforce stores policies, procedures, and SAP-PGT system compliance
- Support Maintenance Planning with spares availability and lead-time information
- Received consumables are administered & stored
- Recorded consumable movement
- Controlled issuing of consumables
- Maintained store hygiene and house keeping
- Applied practices, policies, standards, procedures and methods
- Resolved work area problems and report progress
- Weekly, monthly, Quartley feedback report to Maintenance and Finance manager on Engineering stores adherence
- Adhered to legal requirements
Qualifications
- Minimum: NQF 4 or Grade 12 or similar relevant qualification
- Tertiary qualification in Supply Chain, Logistics, Inventory Management, or a related field (diploma or certificate preferred)
- Minimum 3–5 years proven experience in a Stores / Inventory Controller role within a manufacturing or FMCG environment
- Strong working knowledge and hands-on experience with SAP-PGT (or similar ERP system) – specifically GRV, stock issues, cycle counting, and inventory reporting
- Familiar with a technical environment
- Understanding of technical processes
- Health and safety standards
