Provide calendar management, time planning, and meeting logistics support for manager(s), including room booking, meeting preparation, calendar alignment, and troubleshooting audio-video (AV) and technical issues. Assist in Rhythm of the Business planning and scheduling, including business cadence, key stakeholder coordination, and meeting logistics. Support headcount coordination, recruitment logistics, onboarding, offboarding, staff movement/transfers, reporting, and related transactions within headcount management tools. Provide onboarding support for new employees, vendors, and interns, including equipment ordering, workstation setup, distribution lists, security groups, and answering questions. Own and manage distribution groups, security groups, and related access/support needs. Plan, coordinate, promote, and support offsites, morale events, town halls, group meetings, and other team events, including logistics, itineraries, communications, and issue escalation. Develop relationships and collaborate with stakeholders across multiple organizations, including business support professionals, HR, Finance, event planners, peers, external partners, and customers. Manage space planning and allocation, including office and desk assignments, conference room calendars, office setup and cleanout, and large organizational moves. Execute projects and tasks with accountability, identify risks and challenges, communicate status and tradeoffs to stakeholders, streamline processes, and recommend improvements. Provide travel support, including accommodations, transportation, security considerations, itineraries, international travel documentation, and policy guidance. Actively participate in the Business Support community, take direction from lead admins, and mentor or support less experienced colleagues. 5+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management. These requirements include, but are not limited to the following specialized security screenings: Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience. 2+ years experience serving as mentor to others. 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
