Salary: $6–$7 per hour (depending on experience)

About the Role
Our client is a U.S.-based cash-pay pelvic floor physical therapy practice dedicated to helping patients improve their quality of life through compassionate, specialized care. As a growing solo practice, the owner is seeking a highly organized, empathetic, and sales-oriented Bilingual Healthcare Sales & Appointment Setter to become the first point of contact for prospective patients and referral partners.
This role is ideal for someone who is comfortable discussing sensitive health concerns, enjoys building relationships, and can confidently convert patient inquiries into scheduled appointments. The Virtual Assistant will also support referral partner outreach, appointment coordination, and administrative tasks while helping maintain a consistent online presence through basic social media support.
The client is initially hiring for a part-time position (approximately 4–5 hours per day) but is open to transitioning the role into full-time as the practice continues to grow.
Responsibilities
Patient Communication & Appointment Conversion
- Answer incoming patient calls with empathy and professionalism.
- Screen prospective patients and provide general information about pelvic floor therapy.
- Convert qualified inquiries into scheduled consultations.
- Handle appointment scheduling, confirmations, rescheduling, and cancellation management.
- Fill last-minute cancellations to help maximize the provider's schedule.
Referral Partner Outreach & Business Development
- Follow up with referral partners previously met by the client.
- Schedule networking meetings with new referral sources, including physicians and other healthcare providers.
- Conduct light lead generation to identify potential referral partners within the community.
- Maintain and update referral tracking records.
- Assist with follow-up communication to help strengthen referral relationships.
Social Media Support (Nice to Have)
- Create educational social media graphics using topics and ideas provided by the client.
- Schedule and publish approximately two posts per week.
- Maintain consistency across social media platforms.
Requirements
Required Experience
- Must be bilingual in English and Spanish.
- Experience handling inbound patient calls and appointment scheduling.
- Sales or appointment-setting experience with a proven ability to convert inquiries into appointments.
- Experience conducting follow-up calls and relationship-building with clients or referral sources.
- Experience working with U.S. healthcare is required.
- Comfortable discussing sensitive health-related topics professionally and compassionately.
- Experience handling patient intake or screening calls is highly preferred.
Basic Requirements
- Must speak and write English clearly and professionally.
- Must have relevant work experience.
- Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding (mandatory).
- Must be available to attend video meetings with camera on when required.
