Compensation: $24.00–$26.00 per hour

Atwell is seeking an organized, dependable, and service-oriented Administrative Assistant to support our Tampa office. This position provides day-to-day administrative support to project teams and employees while helping ensure the office remains organized, welcoming, and fully operational.

The Administrative Assistant will coordinate meetings, maintain office and kitchen areas, assist with employee onboarding, process routine administrative requests, and serve as a key point of contact for employees, clients, vendors, and visitors.

This role is ideal for someone who enjoys helping others, takes pride in maintaining an organized office, and is comfortable balancing multiple responsibilities in a professional environment.

What You’ll Do

Administrative and Project Support

  • Provide general administrative support to project teams and employees throughout the office.
  • Manage conference room calendars for client meetings, employee training, and internal events.
  • Coordinate larger meetings, including room preparation, catering, supplies, and setup.
  • Review information entered into company systems for accuracy and completeness.
  • Process employee registration requests and other routine administrative forms.
  • Complete monthly company credit card reconciliations.
  • Organize, archive, and maintain office files and records in accordance with company procedures.
  • Assist with special projects and additional administrative needs as assigned.

Front Office and Workplace Coordination

  • Serve as a welcoming point of contact for employees, clients, vendors, and visitors.
  • Answer incoming calls and direct callers to the appropriate employee or department.
  • Maintain a professional, organized, and welcoming office environment.
  • Order office supplies, kitchen supplies, and other items needed to support the office.
  • Coordinate catering orders and ensure timely delivery and setup.
  • Assist employees with professional license renewals and related administrative processes.
  • Communicate regularly with employees, clients, vendors, building management, and other external contacts.
  • Help coordinate service requests and other office or facility needs.

Kitchen and Shared-Space Support

  • Stock snacks, beverages, napkins, plates, bowls, silverware, and other kitchen supplies.
  • Maintain the cleanliness and organization of kitchen and shared office areas throughout the day.
  • Load and run the dishwasher as needed.
  • Periodically clean and organize office refrigerators and microwaves.
  • Monitor supplies and reorder items before inventory runs low.
  • Coordinate recycling, bottle returns, or similar office tasks when needed.

New-Hire and Employee Support

  • Assist with new-hire setup and onboarding preparation.
  • Coordinate desk and workstation setup for employees joining the Tampa office.
  • Help employees establish company travel and expense profiles.
  • Distribute communications regarding business cards, name tags, parking, and other office information.
  • Help create an organized and welcoming first-day experience for new employees.
  • Respond to general employee questions and direct requests to the appropriate resource when needed.

What We’re Looking For

  • High school diploma or equivalent.
  • One to three years of experience in an administrative assistant, receptionist, office coordinator, or related support role.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and internet-based tools.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple assignments and shifting priorities.
  • Ability to work independently while contributing to a collaborative team.
  • A dependable, enthusiastic, and service-oriented approach.
  • Strong problem-solving skills and the ability to follow through on requests.
  • Professionalism when interacting with employees, clients, vendors, and visitors.
  • Flexibility and willingness to assist with a broad range of administrative and office responsibilities.
  • Ability to work on-site at Atwell’s Tampa office.
