About the role

Behind every great patient experience is a well-organised clinical team. As a Medical Secretary at Montu UK, you will play a key role in supporting our clinicians, ensuring consultations run smoothly and patients receive timely, high-quality care.

Working closely with doctors and the wider clinical team, you'll coordinate schedules, manage clinical administration and help keep our day-to-day operations running efficiently. Your organisation, attention to detail and ability to prioritise will have a direct impact on both our clinicians and the patients they support.

This is a fast-paced role where no two days are the same. You'll be responsible for managing clinician diaries, preparing clinical documentation, coordinating appointments and acting as a key point of contact for our medical professionals. This is a full-time position, working 40 hours per week.

Duties and Responsibilities:

Rota management:

  • Prepare, update and manage clinician rotas, ensuring smooth operation and adequate coverage.

  • Resolve any rota conflicts and communicate changes to the clinical team promptly.

Administrative support:

  • Provide day-day administrative support to clinicians and the wider medical team

  • Maintain accurate records and documentation, ensuing timely updates.

  • Organise and minute team meetings, distributing actions and updates as needed.

  • Facilitate consultant inductions, provide support during training

  • Work collaboratively with other teams to ensure all clinicians have the necessary equipment and support to undertake their roles

Communication:

  • Act as a central point of contact for clinicians regarding rota queries, administrative tasks and scheduling.

  • Draft professional emails and correspondence on behalf of the team.

Operational Efficiency:

  • Ensure compliance with all internal policies and confidentiality standards when managing sensitive information.

  • Support the team in meeting deadlines and resolving operational challenges effectively.

Experience and Skills:

  • Proven experience in a medical secretary or administrative role.

  • IT proficiency and familiarity with healthcare systems.

  • Excellent organisational skills with strong ability to prioritise tasks

  • Confident communicator with both written and skills

  • Ability to manage sensitive information discreetly and professionally
