TMI Service Sales Admin
Supports the TMI Owner Direct Sales team by performing activities associated with service sales administration support, sales support, customer service, coordination, and administrative functions that support the effective operation of the overall TMI business.
Position Responsibilities
May include:
• Works with Owner Direct Sales Professionals to ensure all specified job turnover information is included in each booking packet, physically book the job, set up project files, order and track applicable parts to include communication of status of job and parts.
• Issuance of Bid Bonds, Certificates of Insurance, Payment/Performance Bonds, Pre-Qualification Questionnaires to include new client account setup questionnaire.
• Working as a cross functional team member, assist the Account Managers in response to Request for Proposals (RFPs), Request for Quotations (RFQs), Requests for Information (RFIs) assisting in the proposal development process to ensure on-time delivery of compelling, compliant, and well-written proposals to include assembling bid bonds, COI’s, affidavits, TMI safety data, etc.
• Using TMI tools and standards, processes subcontracts and subcontractor invoices. Organizes and maintains all subcontractor documentation (certificate of insurance, bonding, etc.)
• Assist in managing the Job/Contract Closeout process to ensure the timely closure of projects. Coordinates assembly of the job profitability report, Warranty letter and Customer Contact/Survey process as required.
• Verifying orders, including customers' personal information and payment details.
• Maintains sale and customer satisfaction by investigating concerns, routing them to the assigned staff, and responding to special requests.
• Oversee and respond to basic sales questions around process, billing, filing or job/parts status
• Generates Monthly Individual Owner Direct Sales Booking Summary by LOB
• Responsible for generating, interpreting, and printing various assigned reports.
• Coordinates and works with Warranty Authorization Process, as needed
• Participates in weekly service scheduling and WIP meetings
• Responsible for maintaining and updating Sales Force Database
• Participated in local office AP/AR functions.
• Handles customer inquiries and routes questions of technical nature to the appropriate resource.

Knowledge & Skills:
•Strong knowledge of administrative and sales support practices, including document preparation, scheduling, and recordkeeping.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with Salesforce or similar CRM and SAP/order entry systems preferred.
• Ability to interpret and apply company policies, procedures, and industry standards.
• Strong mathematical and analytical skills for preparing quotes, calculating discounts, and reconciling billing discrepancies.
• Excellent verbal and written communication skills, with the ability to interact effectively with clients, vendors, and internal teams.
• Customer service orientation with the ability to handle inquiries, resolve issues, and maintain strong client relationships.
• Ability to work independently as well as collaboratively in a team environment.
Experience
• 5+ years years of experience in the related field.
Education/Certification
• 2-year degree from a vocational/technical business school
