Job Role: Clinical Research & Executive Assistant

Compensation range: $1,200 AUD - $2,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: Our client is a specialised Australian mental health practice led by a senior clinician with deep expertise in neuropsychiatry and evidence-based treatment. Serving a sensitive and high-profile patient population, the practice operates with the utmost discretion and rigorous clinical standards making confidentiality and attention to detail essential in every role.

Role Overview: We are looking for a highly organised, discreet, and mentally resilient Executive Assistant to support a senior clinician in a fast-paced mental health practice. This is not a clinical role, there is no direct patient care involved, but a background in mental health (as a psychologist, nurse, or allied health professional) is strongly preferred to ensure comfort with clinical language, sensitivity to case materials, and an understanding of the regulatory environment.

You will manage the clinician's diary and workflows, prepare clinical correspondence and reports, conduct literature reviews, write newsletters and website copy, and support the submission of articles for publication. A background in psychology, neuropsychiatry, research, or allied health is essential. Candidates must be able to demonstrate their clinical and research knowledge clearly and confidently.

Key Responsibilities:

  • Manage the clinician's diary and scheduling using Heidi software
  • Organise clinical workflows and ensure a smooth patient journey from referral to review
  • Prepare appointment scripts, templates, and briefing notes for consultations
  • Monitor outstanding tasks to prevent patient abandonment and ensure continuity of care
  • Uphold strict confidentiality and cybersecurity practices when handling sensitive client data
  • Liaise with external stakeholders (referrers, allied health, insurers) professionally
  • Support regulatory compliance and documentation with relevant health practitioner authorities
  • Proactively identify and resolve operational issues before they escalate
  • Write and edit articles, blog posts, and clinical content for the practice's communications
  • Support copywriting needs including patient-facing materials, newsletters, and website content
  • Assist with basic data collection, statistical summaries, and reporting as required

Requirements

  • Genuine clinical background - psychologist, registered nurse, neuropsychiatry, or allied health professional with hands-on patient or research experience
  • Demonstrable research experience, able to conduct literature reviews, synthesise clinical evidence, and support article writing and submission
  • Strong academic and professional writing ability; newsletters, clinical copy, website content, and journal articles
  • Basic statistical literacy; familiarity with common statistical packages (e.g. SPSS, R, or similar) and ability to work with data and reporting
  • Knowledge of common psychological assessments and clinical terminology
  • Highly organised with exceptional attention to detail and ability to manage competing priorities
  • Emotionally resilient,  able to work with sensitive case materials professionally and objectively
  • Cybersecurity-conscious with strict discretion in handling confidential data
  • Excellent written and verbal communication skills in English
  • Proactive and solutions-oriented,  able to work independently with minimal direction
  • Experience in executive support, medical administration, or clinical coordination
  • Familiarity with Heidi or similar clinical scheduling software
  • Experience publishing or co-authoring clinical or academic articles
  • Background in neuropsychiatry or mental health research specifically
