Atlantic Health Overlook Medical Center is seeking a Full-Time Business Office Supervisor for the Environmental Services (Housekeeping) Department.  Required hours are: 8:00AM - 4:00PM, with no weekend requirement.  Starting rate $30.21/hr.  The Business Office Supervisor for the Environmental Services (EVS) and Patient Transport departments oversee the administrative functions within these critical hospital services. This position is responsible for managing office operations including payroll, scheduling, financial tracking, as well as ensuring compliance with hospital policies and standards. The Business Office Supervisor plays a key role in maintaining smooth operations, ensuring that the hospital’s environment and patient transport services meet the highest standards for safety, cleanliness, and efficiency.

Essential Functions/Responsibilities:

  1. Administrative Oversight:
    • Supervise the daily operations of the EVS and Patient Transport business offices, ensuring that all administrative tasks are completed accurately and timely.
    • Maintain and update department records, including scheduling, payroll, and billing logs
    • Coordinate departmental meetings and communications, ensuring accurate documentation of minutes and follow-up actions.
    • Oversee the Bouras Auditorium calendar of events and deploy EVS TMs for room setup
    • Manage EVS team member uniform program and hospital-wide scrub program
    • Develop a close working relationship with all EVS and Transport vendors
  2. Payroll Management:
    • Oversee the processing of payroll for both EVS and Patient Transport staff, ensuring timely and accurate compensation.
    • Verify timecards, manage vacation/sick leave accruals, and address any payroll discrepancies.
    • Ensure compliance with labor laws and hospital policies regarding wages, overtime, and benefits.
  3. Scheduling and Staffing:
    • Coordinate shift schedules, overtime, and ensure the effective use of staff resources.
    • Work closely with department managers to adjust schedules based on patient volume, hospital needs, or special circumstances.
  4. Financial & Budgetary Functions:
    • Assist in the preparation and monitoring of the department's budget for both EVS and Patient Transport services.
    • Review, process, and track purchase orders, invoices, and departmental expenses for both departments.
    • Ensure timely and accurate financial reporting to hospital finance and accounting teams.
    • Work closely with the finance team to ensure the accuracy and timeliness of billing, invoicing, and payment collections for transport services.
  5. Patient Transport Coordination:
    • Supervise the scheduling and dispatch of patient transport services, ensuring timely and efficient transfers within the hospital.
    • Maintain accurate logs of patient transport requests, transport times, and any incidents that may occur during transport.
    • Ensure transport teams follow proper safety protocols and patient handling procedures.
    • Act as a point of contact for other departments requesting patient transport and address any issues that arise.
  6. Customer Service & Communication:
    • Address internal and external customer inquiries, including patient transport requests, in a professional and efficient manner.
    • Communicate effectively with hospital departments, including nursing, patient care, and administration, to ensure smooth operations for EVS and Patient Transport services.
    • Serve as a liaison for any concerns regarding patient transport and cleanliness services.
  7. Inventory & Supply Management:
    • Monitor inventory levels for cleaning supplies, medical equipment, and patient transport materials, and order new stock as needed.
    • Ensure proper storage, labeling, and usage of supplies.
    • Conduct periodic inventory audits and ensure compliance with hospital protocols.
  8. Regulatory Compliance:
    • Ensure department office procedures are in compliance with hospital, state, and federal regulations.
    • Maintain records and documentation for internal and external audits or inspections related to EVS and Patient Transport.

 

Requirements:

  • H.S. Diploma or GED/Equivalent required.
  • Bachelor’s Degree preferred.
  • Must demonstrate strong attention to detail, particularly in payroll processing, staff scheduling, and financial tracking/record management.
  • Must have excellent communication skills, both written and verbal.
  • Strong organizational skills with the ability to prioritize tasks effectively and manage multiple responsibilities a must.

 

Relevant Experience:

  • Proficiency in Microsoft Office Suits (Word, Excel, Outlook & PowerPoint) preferred.
  • Previous experience in environmental services, patient transport, or hospital operations a plus.
  • Previous experience in a supervisory or administrative role, preferably in healthcare or a hospital setting preferred.
  • Office experience with Centricity, SharePoint, Care view patient video monitoring system, ATEAM, Teams meeting preferred.
