Job Summary

The Registry Financial Coordinator starts and manages the donor search and financial clearance for transplant candidates. This involves working with transplant physicians, nurse coordinators, patients, families, labs, government entities, and insurance companies. This position also handles patient billing and reimbursement for National Marrow Donor Program (NMDP) services.

Essential Functions of the Role

  • Consults with patients and family members to obtain consent for donor search and testing. Provides education about the donor search process. Documents the recipient identification and donor identification number on the transplant recipient's arm band before transplant.
  • Initiates and coordinates the donor search with the National Marrow Donor Program (NMDP) to find compatible donors for transplant candidates.
  • Examines compatibility reports, selects potential donors, and coordinates further testing. Transfers samples from patients and donors. Reports results to physicians and nurse coordinators.
  • Ensures completion of clinical data forms required by the NMDP.
  • Verifies transplant benefits and coordinates financial clearance. This includes submitting clinical and appeal information as needed. Submits requests for funding from NMDP for donor search services as needed.
  • Meets with patients, their families, and other representatives to discuss financial obligations or non-covered costs for bone marrow transplantation. Discusses financial policies, potential transplant problems, and alternative resources for patients who don't meet financial guidelines.
  • Presents donor search and financial status of effective patients at weekly multidisciplinary team meetings.
  • Maintains files on the patient search process following FACT and NMDP standards.
  • Coordinates arrangements for obtaining, collecting and transporting blood samples and hematopoietic stem cell products to ensure its arrival for transplant.

 

Key Success Factors

  • Must have previous healthcare experience and specialized knowledge of clinical terminology.
  • Ability to establish and maintain effective professional relationships across organizational lines.
  • Ability to develop and implement short and long range organizational goals, targets, strategic plans, policies, and operating procedures.
  • Ability to stabilize multiple demands and respond to time constraints.
  • Ability to know, optimize and document complex processes.
  • Must be able to communicate thoughts clearly; both verbally and in writing.
  • General computer skills include using software applications, data entry, information security, electronic medical documentation, handheld scanning, and email.
  • Recent NMDP experience preferred.
  • Healthcare coordination experience.
  • Experience presenting information during multidisciplinary clinical meetings.
  • RN background would be valuable but is not required.
  • HLA, transplant, blood bank, or laboratory background.
