VIP Customer Service & Operations Coordinator

Location: Quito, Ecuador

About the Role

World Fuel is seeking a customer-focused and highly organized VIP Customer Service & Operations Coordinator to support business aviation operations at our Fixed Base Operator (FBO) facility in Quito.

This role serves as the primary point of contact for passengers, flight crews, aircraft operators, and visitors, ensuring a seamless and exceptional experience throughout every stage of their journey.

You will play a key role in coordinating aircraft services, supporting flight operations, managing customer requests, and working closely with airport authorities, service providers, and internal teams to ensure safe, efficient, and professional operations.

What You'll Do

• Welcome and assist passengers, flight crews, operators, and visitors, delivering a world-class customer experience.
• Coordinate services required for arriving and departing aircraft, including passenger, crew, and operational support.
• Act as the main point of contact for customer requests and ensure timely follow-up and execution.
• Liaise with airport authorities, government agencies, and service providers to support domestic and international flight operations.
• Coordinate third-party services both within and outside the airport environment.
• Prepare and manage service quotations and obtain customer approvals when required.
• Maintain accurate operational records and ensure timely invoicing of services provided.
• Prepare operational reports and shift handovers to support seamless continuity of operations.
• Monitor facility presentation and customer service areas to ensure a professional and welcoming environment.
• Support operational, ramp, and administrative activities as required.
• Promote the highest standards of safety, security, compliance, and customer service.

What We're Looking For

Required Qualifications

• Experience in customer service, hospitality, aviation, tourism, travel services, airport operations, or a related field.
• Strong communication and interpersonal skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong organizational skills and attention to detail.
• Ability to work effectively with internal and external stakeholders.
• Proficiency in Microsoft Office applications.
• Availability to work shifts, including weekends and holidays as required.

Preferred Qualifications

• Previous experience in business aviation, airport operations, FBOs, airlines, hospitality, or VIP customer service.
• Experience coordinating operational or logistical services.
• Knowledge of aviation operations and airport procedures.
• Bilingual Spanish and English language skills.
