Document Control & Project Coordinator (12-month Contract)
Role Purpose
The Document Control & Project Coordinator plays a key role in supporting the successful delivery of a major infrastructure project by ensuring project information is accurate, organized and accessible. This position combines hands-on document control with project coordination, working across multidisciplinary teams to manage design reviews, track progress and actions, and maintain clear, reliable project records using Aconex and SharePoint.
This 12-month contract, with potential for extension, offers the opportunity to contribute to a major Canadian port infrastructure development that will strengthen Canada’s trade and supply chain capacity.
Key Responsibilities
Document control:
- Administer Aconex, including setting up and managing document workflows.
- Maintain the project’s internal SharePoint site.
- Distribute documents and information to the appropriate team members.
- Transcribe, tabulate, and combine comments from project reviewers.
- Monitor and follow up on overdue tasks/actions.
Project coordination:
- Coordinate engineering design reviews across multidisciplinary teams.
- Ensure design comments are captured, tracked, and resolved.
- Track project progress and maintain accurate, complete and up-to-date project records.
- Draft and distribute meeting minutes.
- Review invoices and progress claims and support the approval process.
- Create project dashboards and draft presentation materials.
Knowledge & Qualifications
- Bachelor's degree or diploma in Civil Engineering, Construction Management, Project Management, or a related discipline.
- 3–8 years of experience supporting large-scale infrastructure projects (design build, EPCM preferred).
- Solid experience administering document control processes in Aconex.
- Experience coordinating engineering designs.
- Knowledge of project management principles.
- Advanced Aconex and Share Point skills are strongly preferred.
- Excellent verbal and written communication skills.
- Collaborative team player with the ability to coordinate effectively across multidisciplinary teams.
- Strong organizational and time management abilities.
- Exceptional attention to detail and accuracy.
- Strong interpersonal and stakeholder management skills.
- Proactive problem-solving and critical thinking skills.
- Fluent in English. French language proficiency is considered an asset.
- Previous Canadian work experience or experience working directly with Canadian industries.
