POSITION OVERVIEW
The GCRT Records & Deposit Specialist is responsible for the receipt, research, deposit, documentation, and tracking of third-party checks received through the GovCheck Resolution Team (GCRT). This role serves as a critical link between records management, financial processing, and document administration by ensuring incoming checks are deposited timely, accurately posted to the appropriate files, and fully documented within SmartView and related company systems.
LOCATION
This position is onsite based in Schertz, TX.
DUTIES & RESPONSIBILITIES
Receive, review, and organize incoming third-party checks and related correspondence.
Prepare and process daily deposits in accordance with company policies and established procedures.
Ensure deposits are completed accurately and within required service-level expectations.
Maintain accountability for physical negotiable instruments while in the possession of the department.
Research deposit exceptions and coordinate resolution efforts with internal business partners.
Research escrow, title, and operational files to determine proper application of deposited funds.
Post deposit activity to the appropriate file and system of record.
Verify payment details, ownership information, and supporting documentation before posting.
Monitor unresolved items and coordinate follow-up activities as needed to ensure accurate processing.
Reconcile daily deposit activity against received check inventory.
Review processed transactions for accuracy and completeness.
Identify and escalate discrepancies, duplicate records, or processing concerns.
Support department quality-control initiatives and process improvement efforts.
Assist with management of deposit backlogs and aging inventory.
Communicate effectively with GCRT processors, operations personnel, and leadership regarding deposit status and exceptions.
Participate in workflow improvement initiatives designed to enhance efficiency, accuracy, and customer service.
Cross-train and provide support for other team functions as business needs require.
MINIMUM REQUIREMENTS
High school diploma or equivalent.
Minimum of 2 years of experience in banking, escrow, title, accounting, records management, financial processing, or a related operational environment.
Strong attention to detail and commitment to accuracy.
Proficiency with Microsoft Office applications, including Excel and Outlook.
Ability to prioritize multiple tasks in a fast-paced production environment.
Excellent organizational and time-management skills.
PREFERRED EXPERIENCE
Experience within the title insurance, escrow, or real estate industry.
Knowledge of deposit processing and financial transaction workflows.
Experience working with SmartView or similar document management systems.
Experience researching and posting financial transactions to operational systems.
Familiarity with handling negotiable instruments and maintaining financial controls.
Strong analytical and problem-solving skills.
Ability to research and resolve discrepancies independently.
Excellent written and verbal communication skills.
Strong attention to detail and data accuracy.
Ability to handle confidential and sensitive financial information.
Ability to work collaboratively across multiple departments and business units.
