The Position
Role Summary
This role is responsible for the end-to-end management, auditing, and continuous improvement of 3PL (Third-Party Logistics) warehouse operations in alignment with pharmaceutical and healthcare industry standards.
The position serves as the primary bridge between the outsourced warehouse partner and the headquarters. Operating with a high level of professionalism, the role ensures full compliance with GMP/GDP regulations, cold chain requirements, and legal legislations while executing order management, route planning, SAP system movements, inventory accuracy, and performance reporting processes.
3PL & Operations Management
- Supervise the daily activities, process accuracy, and performance of the 3PL logistics provider; take proactive measures against potential disruptions and keep management informed.
- Ensure timely, accurate, and rapid delivery of customer orders; propose system and workflow optimizations to streamline delivery processes.
- Manage route planning and prioritization for tender and hospital shipments; track appointment scheduling, delivery protocols, and personnel coordination.
SAP, Inventory & Stock Management
- Perform physical preliminary checks of finished goods and imported products arriving from customs by matching them against invoices; ensure all inbound, transfer, and outbound movements are recorded in the SAP system accurately and on time.
- Conduct continuous inventory controls to prevent discrepancies; organize monthly physical stock counts, reconcile results with the SAP system, prepare official protocols, and maintain archives.
- Manage disposal processes; oversee the storage of quarantined/rejected products earmarked for destruction, accompany official authorities during inspection/counting procedures, and execute SAP outbound entries.
Quality, Regulation & Compliance (GMP/GDP)
- Guarantee full compliance with GMP (Good Manufacturing Practices) and GDP (Good Distribution Practices) principles across all warehouse and distribution operations.
- Prepare deactivation files for shelf samples and coordinate relevant departments to ensure ITS (Pharmaceutical Track and Trace System) notifications are completed.
- Forward dataloggers arriving with imported cold chain products to the Quality Control department; manage the stock and cost-effective utilization of cold chain consumables such as styrofoam boxes and ice packs.
- Process market returns according to quality instructions; forward any information received regarding drug side effects to the Pharmacovigilance department within 1 business day in compliance with Ministry of Health product safety regulations.
- Ensure strict adherence to occupational health and safety, cleanliness, and environmental policies within the warehouse.
Reporting & Crisis Management
- Act as the primary point of contact for shipment and operational issues, providing real-time information flow to headquarters and playing an active role in problem-solving.
- Prepare and present monthly shipment performance (KPI), package volume (cargo/forwarder/local delivery), and cold chain consumables reports to management, including variance analyses against targets.
Who you are
- Bachelor’s degree in Industrial Engineering, Management Engineering, Logistics Management, Supply Chain, or related fields.
- Minimum of 3–5 years of experience in warehouse management, logistics operations, and 3PL management within the pharmaceutical, healthcare, or similar regulated industries.
- Operational mastery of GMP / GDP guidelines, cold chain management, and ITS (Pharmaceutical Track and Trace System) processes.
- Advanced proficiency in SAP and WMS programs; strong MS Office and reporting skills.
- Strong operational presence with solid supplier management and negotiation skills; detail-oriented, highly proactive in follow-ups, and capable of generating solutions during crises.
- Professional working proficiency in English to follow sectoral literature, global procedures, and systems.
