Job Description
The Associate Manager – Contract Management is a key member of the Universal Products & Experiences (UP&E) team, responsible for overseeing the contract lifecycle across specific territories and/or product categories. This role reports to the Sr. Manager - Contract Management & Clearances.
The Contract Management team works across functions and shepherds deals from the pitch phase all the way through final execution and payment. The team works closely with Category, Finance, Legal, Controllership and IT to streamline the deal process and assist where necessary to maintain an efficient deal workflow, from start to finish. The ideal candidate is a proactive and detail oriented problem-solver who takes ownership of projects, who has some contract, licensing and/or data entry experience, and can manage multiple priorities in a fast-paced environment.
KEY RESPONSIBILITIES:
- Tracks contracts from approval to execution, collaborating with B&LA lawyers and professional staff to ensure timely completion within designated timeframes
- Leads/supports contracts status meetings (in consultation with the Sr. Contracts Manager) and addresses/resolves open issues
- Prepares third party approval requests, NDAs, customs letters and other correspondence
- Supports the review of asset release requests, adhering to UP&E policies
- Instructs contract reconciliations and invoicing for post-signature processing
- Prepares documents for electronic signature and ensure signed contracts, amendments are correspondence are archived and organised within our internal document management systems
- Maintains OneDrive, DMS and other document filing systems, proactively updating frequently used team documents and optimizing organisation
- Works closely with department intern, providing guidance and oversight on high-volume tasks
- Schedules and supports ad hoc legal training for business and creative stakeholders
- Supports B&LA lawyers and legal staff with the preparation of draft agreements and other routine legal documents related to consumer product licensing arrangements as required
- Works closely with commercial teams to identify priority deals and issues and proactively handles or escalates matters as appropriate
- Centrally manages the tracking of ancillary requests, legal work and tasks received by the B&LA team
- Supports the Sr. Contract Manager and B&LA department with additional tasks and projects as required, exhibiting flexibility and a proactive approach
Qualifications
- Proven experience with Microsoft Office applications (Outlook, Word, Excel, PowerPoint) Office365 (OneDrive, SharePoint, MS Teams), DocuSign and Legal Document Management Systems.
- Strong interest in contract management and legal administration, with a desire to develop expertise
- Familiarity with conference room booking systems and scheduling meetings and events.
- Highly organised and efficient with excellent attention to detail.
- Excellent communication and interpersonal skills with an ability to adapt style to interact effective with a range of personalities
- Demonstrated ability to establish and maintain effective working relationships both internally and externally.
- Friendly, approachable and confident manner, coupled with a flexible can-do attitude.
