CMMS Operations Coordinator
The Operations Coordinator provides administrative, operational, CMMS/MCIM, and coordination support to the Critical Facility Manager and on-site mission-critical operations team. This role facilitates day-to-day workflows, documentation, reporting, scheduling, vendor coordination, and communication to support efficient and compliant facility operations.
The Operations Coordinator plays a key role in supporting maintenance activities, work order management, MCIM utilization, client reporting, contract administration, and documentation control in a highly procedural mission-critical environment.
Pay: : $45,000-$67,500annually (US Dollars)
The pay listed is the salary range for this position. Any specific offer will vary based on the successful applicant’s education, experience, skills, abilities, geographic location, and alignment with market data. You may be eligible to participate in a Company incentive or bonus program
- Support daily operations by coordinating work orders, schedules, maintenance activities, and operational documentation across mechanical, electrical, controls, HVAC, and vendor teams.
- Manage and maintain accurate records in the CMMS, including work orders, preventive maintenance schedules, close-out documentation, asset records, and maintenance history.
- Support use of MCIM, the client on-site CMMS platform, including work order coordination, task distribution, status tracking, reporting, and documentation accuracy.
- Assist with tracking and reporting KPIs/CPIs, SLAs, maintenance compliance, open actions, and performance metrics in accordance with client and contract requirements.
- Coordinate vendor access, schedules, escorts, badging requirements, service documentation, and on-site support for service providers and subcontractors.
- Support preparation, tracking, and documentation control of SOPs, MOPs, EOPs, forms, logs, and site procedures, including version control and distribution as directed.
- Assist with change management processes, including documentation, approvals, communication, and action tracking.
- Prepare and distribute meeting agendas, meeting minutes, action item logs, and follow-up tracking for operational and client meetings.
- Support invoice review, purchase order tracking, cost documentation, change order support, and contract administration as directed.
- Serve as a point of contact for routine operational communications, ensuring information is accurately shared across teams.
- Maintain organized electronic and hard-copy files in compliance with site and corporate standards.
- Support audits, inspections, safety reporting, compliance reviews, and client reporting activities.
- Perform additional administrative and operational support duties as assigned by site leadership.
- Minimum 3-5 years of experience in operations coordination, facilities administration, maintenance support, or administrative support; data center or mission-critical experience preferred.
- Experience working with CMMS platforms, work order systems, facility documentation, maintenance records, or operations reporting.
- Experience with MCIM strongly preferred; ability to quickly learn and support both client and ABM CMMS/work order systems required.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, documents, and stakeholders.
- Proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
- Strong written and verbal communication skills.
- Detail-oriented with a high level of accuracy, accountability, confidentiality, and follow-through.
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- Experience supporting facilities management, engineering, or critical environments preferred
- Familiarity with mission-critical procedures, change control, and maintenance documentation preferred
- Basic understanding of HVAC, electrical, controls, or data center terminology preferred
- MCIM, CMMS, work order management, or maintenance planning platform training a plus
- Ability to work in an office and industrial data center environment.
- Ability to walk the site as needed to support operations.
- Ability to lift up to 25 lbs as required.
- Mission-critical data center environment requiring confidentiality, procedural discipline, documentation accuracy, and attention to detail.
- Day shift, Monday-Friday.
