The role:
Contract Management Analyst is responsible for managing operational tasks related to vendor contracts and contract governance. This role requires a deep understanding of vendor agreements and the ability to extract value through the contract drafting and review process. The Analyst will review and revise vendor agreements and oversee process compliance, data accuracy and reporting to ensure that the company maximizes benefits while minimizing financial expenditure and exposure.
Responsibilities:
- The core responsibilities and skill sets are operational and analytical. Requires intimate knowledge of vendor contracts with the ability to execute / extract the intended value from the agreements through the contract management process.
- Review strategic and tactical vendor agreements and revise as necessary to ensure that the company is maximizing benefits while minimizing financial expenditure / exposure. Recommend contract revisions to improve language and reduce gaps/inconsistencies.
- Perform first and second line analysis of contracts (some drafting required). Prepare for final review of supervisor before DocuSign submission. Includes escalation to supervisor when red flags are caught.
- Execute contract execution process and review executed agreements as part of the contract abstract process.
- Oversee vendor governance activity and ensure it is properly documented and maintained in the vendor governance portal.
- Manage contract approval packages presented by Procurement and/or VMO for execution.
- Proactively monitor contracts to ensure limitations associated with length of term, renewals etc. are not violated.
- Oversee vendor tasks/deliverables are being met from a PtP perspective (e.g. documents are presented on time, outstanding credits are received …), escalate to manager when necessary.
- Ensure Business Partners are aware of vendor governance tasks/deliverables which are approaching deadlines and assist where possible.
- Gather and analyze contract data on a regular basis to monitor process adherence, data quality and key trends, and deliver reports to Operational Leads and Service Managers.
- Manage the relevant stakeholder interactions and relationships throughout the contract management process.
- Develop a solid understanding of supplier agreement templates along with thorough understanding of legal concepts.
- Maintain the agreements database, track contracts' expiry dates, and assure the extensions are signed in due time, and understand contract data flows between systems.
- Negotiate with suppliers to reach favorable agreements, including delivery schedules, payment terms, and other contractual conditions.
Key Skills
- BSC degree in Business related field.
- 2 to 4 years' experience developing, implementing & managing Vendor performance, projects, and relationships.
- Prior experience managing Procurement Processes.
- Experience working with geographically dispersed team & customer base.
- Demonstrated ability to manage multiple stakeholders and vendor partners.
- Ability to influence & motivate peers & partners.
- Ability to think analytically and communicate effectively.
- Expertise in MS Excel, PowerPoint, Word, Service NOW with strong data analysis skills.
