Your New Role
Provide proactive administrative and operational support to the Retail Senior Director and Retail team, enabling the efficient delivery of retail operations through effective coordination, process support, and continuous improvement of team effectiveness and workplace efficiency.
Your Role Accountabilities
Provide administrative and operational support to the Retail Senior Director and Retail team, ensuring the smooth and efficient running of day-to-day business activities.
Coordinate meetings, team events, presentations, reports, travel arrangements, and business documentation to support effective team operations.
Manage office facilities, supplies, equipment, and workplace services, maintaining a safe, organized, and professional working environment.
Support onboarding activities, including coordinating access, equipment, business cards, and workplace setup for new team members.
Manage vendor administration and payment processes through SAP, including vendor setup, purchase orders, invoice resolution, goods receipt processing, and payment support.
Build and maintain effective relationships with internal stakeholders, suppliers, and service providers to ensure operational requirements are delivered efficiently.
Identify opportunities to improve processes, enhance service delivery, and support ad hoc projects and business initiatives as required.
Qualifications & Experience
Required
Native-level Japanese communication skills and Business-level English Communication skills.
Experience in an administrative, coordinator, executive assistant, or business support role.
Strong organizational, planning, and multitasking skills with the ability to manage competing priorities.
Strong communication skills, with the ability to work effectively across teams.
Preferred
Experience supporting retail, hospitality, entertainment, or customer-facing operations.
Experience using SAP or similar procurement, finance, or work order management systems.
Experience supporting travel arrangements, expense management, and vendor coordination.
Proficiency in Microsoft Office applications, including Excel, PowerPoint, and Outlook.
