Transport Planner is responsible for planning, coordinating, and monitoring daily transportation operations to ensure timely pickup and delivery of customer orders. This role includes truck arrangement, shipment monitoring, system updates, communication with customers and transporters, and ensuring compliance with operational and safety requirements.

Key Duties and Responsibilities

  • Receive and process all transportation orders from Business Units (BUs) and arrange trucking requirements through manual planning.
  • Issue truck booking pre-alerts to transporters via WhatsApp and follow up with official email notifications for billing purposes.
  • Arrange truck bookings based on the PGI (Post Goods Issue) date or RDD (Requested Delivery Date) requested by customers.
  • Plan orders and trucks using the OTM system (buy and sell process simultaneously) and update OTM IDs in truck requests daily.
  • Register and monitor Shipment IDs in SCE TMS to ensure drivers perform pickup and delivery scanning within the required timeline.
  • Ensure all customer orders are planned for delivery and verify that no orders are missed in both SCE and OTM systems.
  • Monitor truck movements and provide timely status updates through WhatsApp groups involving customers and transporters.
  • Coordinate and arrange Stock Returns and Store-to-Store stock transfers requested by customers, including updating the relevant return trackers in shared folders.
  • Inform the Billing Team via email regarding any rate changes, new customer setups, or special transportation arrangements.
  • Liaise with the Project Team to resolve any system issues encountered during planning activities.
  • Ensure proper handover arrangements during absence and maintain close communication with team members for continuity of operations.
  • Provide support to colleagues who are absent to ensure smooth execution of daily operations.
  • Ensure all trucks arrive according to the scheduled loading booking time.
  • Monitor drivers’ compliance during loading activities and ensure adherence to all warehouse and customer house rules, including safety requirements.
  • Report any abnormalities, operational issues, or exceptions encountered during arrangements with customers or transporters to the superior promptly.
  • Perform any other related duties assigned by superiors.
  • Ensure all daily operational tasks are completed by End of Day (EOD).

Requirements / Competencies

  • Familiarity with transportation management systems such as OTM and SCE TMS is an added advantage.
  • Knowledge of logistics operations, truck scheduling, and delivery processes.
  • Attention to detail and ability to work under tight timelines.
  • Good teamwork and problem-solving capabilities.
