POSITION SUMMARY:

The Leave Specialist is responsible for managing the administration of all leave of absence activities for BAYADA Home Health Care employees. This role will focus on customer service to employees and their managers on all leave aspects. The Leave Specialist will assist with recommendations of leave policy and procedure changes for internal support as well as with our external vendor. This role will track, audit, and maintain accuracy of all employees’ leave of absences in connection with BAYADA systems. This role will ensure appropriate, accurate, and timely action is taken in response to employees' leave requests and questions received through the HR Command Center or Leave Management customer service channels. This role will continuously promote a company culture that encourages and supports high morale as well as individual and team performance.

MINIMUM QUALIFICATIONS:

  • Exemplifies characteristics of The BAYADA Way: compassion, excellence and reliability.
  • Four (4) year college degree.
  • Demonstrated record of strong interpersonal skills.
  • Demonstrated record of goal achievement.
  • Prior health care and home care experience is a plus.
  • Able to handle multiple tasks.
  • Ability to arrange information and files in a useful manner.

PRIMARY RESPONSIBILITIES:

  • Demonstrate and communicate the core values of BAYADA and The BAYADA Way.
  • Develop working knowledge of BAYADA’s mission, services, people, organization, policies and procedures.
  • Learn various aspects of the organization through technology training, hands-on learning, cross-training, and site visits.
  • Demonstrate proficiency with office specific software (e.g. Workday).
  • Effectively manage leave of absence cases.
  • Respond to all employee questions received through HR Command Center tool(s) and provide all leave options to employees/managers.
  • Ensure leave requests and approvals are processed accurately and timely.
  • Assist in the creation of training materials for people partners, people managers, and employees on time off and leave policies and procedures, including Workday & BAYADA processes and functionality.
  • Assist with coordinating activities necessary between external vendor system and internal systems, including Workday and Jira (processing leaves through Workday)
  • Liaison leave functions in coordination with internal Health and Welfare benefits team members as needed.
  • Communicate with employees regarding their needs for leave. Ensure that employees and managers are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave. This includes gathering and completing all required paperwork, determining leave eligibility, designating leaves accurately, requesting medical certification as needed, and accounting for intermittent and reduced scheduled leave use.
  • Maintain reasonable communication with employees on leave to facilitate a smooth and timely return to work; relay communication between employees and their managers during leave within reason or assist employee’s manager with this process.
  • Help facilitate other leave requests, which may include accommodation requests under the ADA and requests for guidance from manager.
  • Preserve confidentiality of employee medical documentation and files.
  • Maintain knowledge of all applicable leave and accommodation laws, including the FMLA, ADA, and state and local laws.
  • Support supervisor in managing relationship with Leave Management vendor.
  • Support manager/leadership in making recommended company leave policy changes to the company’s Management Committee to ensure compliance with federal, state, and local laws/regulations.
  • Demonstrate solid performance or exceed performance standards in key job dimensions/attributes as defined on the Performance Appraisal for Office Staff.
  • Perform related duties, or as required or requested by supervisor.
