Executive Assistant, Data and Product & Global Engineering

We are looking for an Administrative Assistant who brings exceptional organization, sound judgment, digital confidence, and a service mindset to support leaders and teams operating in a dynamic global environment. In this role, you will help create structure, rhythm, and efficiency for a team focused on data, products, technology, and engineering solutions that support growth across our business. You will manage calendars, coordinate meetings, support travel and events, prepare communications, maintain information flow, and help leaders stay focused on the work that matters most.
The ideal candidate is proactive, detail-oriented, collaborative, and comfortable working with confidential information, shifting priorities, and stakeholders across regions and functions. You will bring curiosity, inclusive collaboration, strong communication skills, and the ability to use modern productivity tools, data, and artificial intelligence-enabled capabilities responsibly to simplify work, improve follow-through, and strengthen team effectiveness.
What You’ll Do for Us
Provide day-to-day administrative support to leaders within Data and Product and Global Engineering, helping teams work efficiently across calendars, priorities, communications, and deliverables.
Manage complex calendars, appointments, meetings, and team routines across time zones, using strong judgment to prioritize requests, resolve conflicts, and protect focus time for critical work.
Coordinate internal and external meetings, including agenda preparation, logistics, participant coordination, materials, room or virtual meeting setup, follow-up actions, and timely distribution of relevant information.
Arrange domestic and international travel, prepare itineraries, process expense documentation, and help ensure leaders have the information needed for productive and compliant business travel.
Draft, edit, format, and distribute professional communications, presentations, reports, meeting materials, emails, memos, and other correspondence with accuracy, consistency, and brand-appropriate tone.
Support team operating rhythms by tracking action items, deadlines, approvals, key milestones, and recurring deliverables, helping leaders maintain visibility and accountability.
Partner with other administrative professionals, functional teams, vendors, and internal stakeholders to coordinate events, onboarding activities, team meetings, workshops, and cross-functional engagements.
Use Microsoft Office, collaboration platforms, workflow tools, and artificial intelligence-enabled productivity features to organize information, improve document quality, summarize inputs, and streamline routine administrative processes.
Maintain confidential files, distribution lists, contact information, records, and shared workspaces in a secure, organized, and accessible manner aligned with company practices.
Identify opportunities to improve administrative processes, simplify team routines, reduce duplication, and create more consistent ways of working across the Data and Product and Global Engineering organization.
Support a positive team experience by anticipating needs, responding with professionalism, and helping create an inclusive environment where colleagues can collaborate effectively across cultures, functions, and geographies.
Requirements & Qualifications
High school diploma or general education development credential required; associate degree, bachelor’s degree, or relevant administrative certification preferred.
5+ years of administrative support experience in a professional, corporate, technology, engineering, data, product, consulting, or similarly fast-paced business environment.
Demonstrated experience managing executive or senior leader calendars, coordinating complex meetings, supporting travel arrangements, and balancing multiple priorities with limited supervision.
Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and collaboration tools, with the ability to create polished materials and manage information accurately.
Digital fluency and willingness to use artificial intelligence-enabled tools responsibly to improve productivity, summarize information, support drafting, and enhance administrative efficiency.
Strong written and verbal communication skills, including the ability to prepare clear correspondence, organize information, and interact professionally with leaders, peers, suppliers, and cross-functional partners.
Experience coordinating projects, events, workshops, or team activities, including tracking tasks, managing logistics, and following through on time-sensitive details.
Ability to handle confidential information with discretion, sound judgment, and a high level of integrity.
Strong organizational skills, attention to detail, and the ability to prioritize competing requests while maintaining high-quality work.
Comfort working with data, dashboards, spreadsheets, reports, or structured information to support decisions, planning, and follow-up.
Ability to work effectively across time zones, cultures, and functions, demonstrating inclusive collaboration and respect for different working styles.
Demonstrated curiosity, learning agility, and a continuous improvement mindset, with the confidence to suggest better ways of working.
Interest in sustainability, responsible business practices, and the role that technology, data, and engineering can play in supporting efficient and future-ready operations.
