The role will manage the day-to-day administrative functions as well as interface with a variety of individuals (both internally and externally).Maintain a high degree of confidentiality and discretion regarding all matters and documentsManage calendars, process expense reports, maintain heavy filing, and perform other administrative duties as assignedScreen and log calls in an extremely heavy telephone environment and respond directly to inquiriesHandle correspondence, including typing and drafting letters, memos and legal contractsOrganize and maintain files on all projects and keep updatedDetermine importance of meeting requests and schedule accordinglyArrange travel and all accommodations including comprehensive and detailed itinerariesAct as liaison with all internal and external clients/departmentsManage special projects as designated, specifically, dealing with administrative and coordination issuesAssist with internal communications as well as communications with clientsCoordinate staff meetings, conferences and client meetings as necessaryManage various department responsibilities such as renewing memberships, subscriptions, and maintaining office suppliesPlan/coordinate various social events in conjunction with internal departmentsQualificationsQualifications/Requirements:Minimum 2+ years administrative experience in an entertainment company or Legal departmentProficiency with Microsoft OfficeSuperior organizational and administrative skills with the ability to multi-task and prioritize work requiredAttention to detail and demonstrated initiativeAbility to maintain a high level of confidentialityExcellent verbal and written communication skills with all levels both internal and externalAbility to successfully manage multiple projects and handle deadlinesAble to prioritize competing requests and manage busy schedulesEligibility Requirements:Bachelor’s degree or equivalent work experienceMust be willing to work overtime and be flexible with hoursMust be willing to work at the office in New York, NYDesired Characteristics:Personable and fosters a positive team environmentSelf-starter with ability to follow through without supervisionBilingual in Spanish and English (speaking/writing) a plusBasic familiarity with...
