About the Role
A fast-growing, seed-funded AI communication SaaS company based in Vienna is hiring a Talent Acquisition Manager to build and own its end-to-end recruiting function. Working closely with the Recruiting Lead and C-level, you will architect a high-quality, scalable hiring engine from the ground up — with real autonomy and fast decision-making cycles.
The company builds AI phone assistant technology for SMEs, automating inbound and outbound business calls, appointment scheduling, and customer service. Founded in 2024 and backed by top European and international investors (Seed stage), the team is currently ~50 people and on track to grow to 70–100 by year-end.
What You'll Do
Partner directly with hiring managers to define clear, actionable role requirements.
Build and maintain a strong candidate pipeline through active sourcing and strategic channel activation.
Conduct efficient pre-screening and screening calls that deliver high-signal results.
Coordinate all stages of the hiring process to ensure smooth, timely progress for candidates and stakeholders alike.
Negotiate employment contracts through to successful closure.
Design and implement lean, scalable recruiting strategies and operational structures.
Build low-overhead administrative hiring workflows and select, configure, and optimize recruiting tools and platforms.
Develop and execute employer branding initiatives to attract top talent.
Coordinate external partners including payroll providers, notaries, and tax advisors.
Support onboarding and offboarding activities as part of the full recruiting lifecycle.
Establish HR foundations — processes, tooling, and team events — in close collaboration with leadership.
Take full ownership of the recruiting function, operating with high autonomy in a fast-paced startup environment.
What We're Looking For
Must-haves:
5+ years of experience in Talent Acquisition, with a proven track record building and delivering end-to-end recruiting processes across diverse roles.
Demonstrated ability to define and implement lean, scalable recruiting processes from scratch.
Experience negotiating employment contracts and successfully closing offers with candidates.
Strong data-driven mindset with the ability to define, track, and report on KPIs (e.g., time-to-fill, conversion rates, pipeline efficiency).
Hands-on experience with recruitment platforms and software — including setting up and optimizing tools for daily use.
Proven ability to quickly filter large applicant pools for both substantive skill and cultural fit.
Strong pitch skills — able to convincingly sell the company and roles to top candidates.
Experience coordinating external partners (payroll, notary, tax advisory) within recruiting workflows.
Nice-to-haves:
Experience developing and executing employer branding strategies in a recruiting context.
Familiarity with AI tools and modern workflows applied to recruitment.
Prior experience in a high-growth startup environment (ideally SaaS or tech).

Compensation & Benefits
Salary: €65,000 – €80,000 gross per year, depending on experience.

This is a full-time, on-site role based in Vienna, Austria. Regular in-office presence is expected.
