Job Role: Part-time Office Admin Assistant

Compensation range: $750 AUD - $1,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule:  This is a part-time engagement of approximately 20 hours per week. Your hours should overlap with AU business hours (9 AM–5 PM AEST, Monday to Friday) for real-time collaboration with the business owner and crew, but as a contractor, you'll have flexibility in structuring your specific hours within that window. 

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is: We are a residential fencing company based in Brisbane, servicing homeowners across the region with quality timber fencing installations. They work closely with clients from initial quote through to completed installation, priding themselves on reliable communication, professional workmanship, and fences built to last. As a growing business, they value integrity, attention to detail, and a hands-on, solutions-focused approach to every job.

Role Overview: We're looking for a highly organised Office Administrator to support our team. This role is perfect for someone who enjoys keeping operations running smoothly, thrives on organisation, and has experience supporting construction or trades-based businesses.

Working closely with the business owner, you'll take ownership of the day-to-day administration, allowing them to focus on growing the business and building client relationships. You'll become the central point of coordination for jobs, schedules, materials, and office operations while helping ensure projects stay on track and profitable.

Key Responsibilities: 

  • Manage incoming email enquiries professionally and efficiently.
  • Schedule installation jobs and coordinate crew calendars.
  • Order materials and liaise with suppliers to ensure timely deliveries.
  • Track jobs from scheduling through to completion.
  • Perform back costing on completed jobs to monitor costs and protect profit margins.
  • Maintain accurate job records and documentation.
  • Assist with invoicing and general administrative support as required.
  • Identify opportunities to improve office processes and workflow efficiency.
  • Support the ongoing management (and potential migration) of the company's job management system.
  • Support weekly bookkeeping tasks, such as reconciling transactions, tracking expenses, and maintaining accurate financial records in Xero.

Required Skills and Qualifications:

  • Previous experience in an Office Administrator, Project Administrator, or Job Coordinator role.
  • Experience working within construction, trades, or a similar project-based industry is highly regarded.
  • Excellent written and verbal English communication skills.
  • Highly organised with strong attention to detail.
  • Comfortable working with numbers and reviewing job costs.
  • Able to manage multiple priorities while meeting deadlines.
  • Proactive, dependable, and capable of working independently.
  • Confident using business software and willing to learn new systems.

Preferred Experience:

  • Experience using Tradify, ServiceM8, or similar job management software.
  • Experience coordinating field crews, trades, or service technicians.
  • Exposure to purchasing, supplier coordination, or scheduling.
  • Experience supporting small business operations.
  • Basic experience with Xero bookkeeping and accounting software is highly regarded.

Work Arrangement & Expectations:

This is a remote role that may be set up as either an independent contractor engagement or via an Employer of Record (EOR), depending on client preferences and legal structure.

To ensure alignment and transparency, successful candidates will be expected to:

  • Be available for meetings and collaboration during core [AEST or PHT] business hours
  • Disclose any existing ongoing roles or client work
  • Reflect this engagement on their LinkedIn profile (clearly marked as “Independent Contractor” if not employed via EOR)
