Responsibilities

We're seeing an experienced business operations specialist to provide critical front office coordination, contract administration, and executive communications support.

 

This role demands a highly independent, detail-oriented professional capable of supporting senior leadership with minimal oversight. The ideal candidate will coordinate complex relationships with multiple stakeholders, manage high-visibility briefings, and serve as a force multiplier for leadership.

 

The candidate will have a deep understanding for the organization and be capable of seamlessly integrating into a fast-paced front office environment.

 

Administrative and Operational Support

  • Manage leadership calendars and coordinate complex scheduling requirements
  • Process access requests, data transfers, invoices, and contract modifications
  • Handle disclosure, taskings, and information requests in coordination with partner organizations
  • Coordinate and process travel cables, travel authorizations, itineraries, logistics, and trip reporting
  • Manage organizational requirements and workflows in knowledge management systems

Executive Communications

  • Compile, refine, and manage weekly organizational highlights and priority communications
  • Draft high-quality written materials tailored to senior leadership, interagency partners, and Congressional audiences
  • Prepare, update, and support briefing materials for regular and ad hoc meetings
  • Conduct research and gather supplemental information to support leadership decision-making
  • Perform quality assurance, quality control, and due diligence on all communications and deliverables

Knowledge Management

  • Review, update, and maintain SOPs, critical documentation, and program materials
  • Organize and maintain workspace and repositories for program documentation
  • Retain and manage project documentation within the team’s knowledge repository

Budget and Contracts Management

  • Provide budget management support and financial oversight for program and research activities
  • Use organizational budget tools and financial systems for tracking, reporting, and analysis

Qualifications

Required Qualifications

Must have active TS/SCI w/poly

 

Professional Experience

  • Program or project management experience in intelligence or DoD/DoW environments
  • Experience supporting senior executive leadership
  • Experience preparing briefings for Congressional, interagency, or senior executive audiences

Technical Skills

  • Proficiency with cable system
  • Experience with organizational systems and tools including document management, financial systems, and tasking platforms
  • Advanced proficiency in Microsoft Office Suite (PowerPoint, Word, Excel).

Knowledge, Skills, and Abilities

  • Ability to plan and lead major assignments independently
  • Exceptional written and oral communications skills with ability to tailor content to audience
  • Outstanding attention to detail with commitment to quality assurance/quality control
  • Strong accountability and ownership mindset
  • Ability to manage multiple stakeholders and competing priorities
  • Experience navigating complex multi-organizational partnerships

Education

  • Minimum of 12 years experience with BS/BA, 10 years with MS/MA, or 7 years with PhD
  • 4 additional years of relevant experience may be accepted in lieu of degree;

Desired Qualifications

  • COTR experience or equivalent contracts oversight
  • Experience supporting emerging technology initiatives or innovation accelerators
  • Familiarity with information request processes and policies

Target Salary Range

$146,000 - $234,000. This represents the typical salary range for this position. Salary is determined by various factors, including but not limited to, the scope and responsibilities of the position, the individual’s experience, education, knowledge, skills, and competencies, as well as geographic location and business and contract considerations. Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay.
